Job summary

Elwyn is seeking a Regional Support Coordinator to provide essential administrative support to LEA Representatives and CECs. This in-office role involves managing schedules, case records, and communications with families, providers and staff.

You will coordinate documents, support regional projects and ensure compliance with privacy rules. The position emphasizes strong organizational skills, attention to detail, and the ability to work with a cross-functional team in a nonprofit educational

Qualifications

  • High School Diploma required; Associate’s degree preferred.
  • 3–5 years of administrative or office support experience.
  • Experience in educational setting preferred.
  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication; professional phone etiquette.
  • Proficient with Microsoft Office (Word, Excel, Outlook).
  • Knowledge of FERPA/HIPAA and confidentiality practices.

Responsibilities

Job Description

The Regional Support Coordinator will provide administrative support to the LEA Representatives and the Child Education Coordinators (CEC) I and II, taking on key administrative and coordination responsibilities, allowing them to focus more of their time and attention on supporting the children and families. This position will be in-office.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Serve as primary support and point of contact for the regional staff, handle and route inquiries to the proper person.
  • Provide general reception and high-quality customer service experience to children, families and other Early Learning Services visitors including, but not limited to, greeting, managing the waiting area, and directing them to appropriate staff.
  • Support LEAs and CECs with case-related administrative tasks.
  • Coordinate schedules, manage timelines, and monitor critical deadlines to ensure compliance and continuity of services.
  • Set reminders and track follow-ups with families. This will increase timely communication and engagement.
  • Prepare, review, and maintain confidential documentation, and case records.
  • Provide coordination and support for regional initiatives and special projects.
  • Uploading signed paperwork into Docusign.
  • oSending paperwork, receiving paperwork- uploading to sprout/updating supp docs

  • Assist with family communication and periodic mass mailings.
  • Oversee and provide processing ofelectronicfile transfersin HCSISwhen there is a need
  • Manage incoming and outgoing mail as needed, signing for delivering and packages, monitoring and maintaining an adequate office supplies.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies, and verifying receipt of supplies with ELS Operations Manager
  • Collaborate with ELS Operations Manager to ensure the regional office is arranged in accordance with safety and fire code standards
  • Coordinate special projects, as needed
QUALIFICATIONS
  • High School Diploma
  • Associate’s degree preferred
  • Minimum of 3–5 years of administrative or office support experience
  • Two (2) years’ experience in an educational setting developin
  • Strong customer service interaction and interpersonal skills with the ability to interact professionally with employees, families, and external agencies
  • Excellent verbal and written communication skills, including professional phone etiquette
  • Strong organizational skills with the ability to manage multiple tasks and prioritize responsibilities
  • Experience handling confidential or sensitive information with a high level of discretion and attention to privacy requirements.
  • Ability to review documentation for completeness and accuracy and maintain detailed records of requests and responses.
  • Demonstrated attention to detail, time management and organizational skills.
  • Demonstrate effective problem solving and decision-making skills, clear communication and appropriate interpersonal interactions to build and maintain positive, professional working relationships with little or no need for direct supervision
  • Demonstrated ability to work effectively as part of a team with cross-functional team experience (organizing and managing process) working with all levels of the organization, across departments, and with outside vendors
  • Demonstrated proficient experience with Microsoft Office applications, including Word, Excel, Outlook
  • Experience working with cloud-based documentation storage; MILNER system preferred.
  • Experience using Electronic Health Record (EHR) / Electronic Medical Record (EMR)
  • Knowledge of records maintenance, Family Educational Rights and Privacy Act (FERPA), Health Insurance Portability and Accountability Act (HIPAA), and confidentiality rules, practices, and methods preferred
