About Visiting Docs

Visiting Docs is a healthcare organization dedicated to delivering high-quality, patient-centered medical services within Assisted Living Facilities and other residential healthcare settings. We pride ourselves on building strong relationships with our facility partners and providing a responsive, professional, and personalized level of care.

We are seeking an experienced, motivated, and hands‑on Regional Manager of Facility Operations to oversee operations across a designated group of Assisted Living Facilities throughout Queens.

Position Overview

The Regional Manager of Facility Operations is a key leadership position responsible for ensuring operational excellence, strong facility relationships, staff accountability, and exceptional service delivery across multiple locations.

This is a highly visible, hands‑on role requiring regular onsite presence at assigned facilities and the ability to travel between locations throughout the workday.

The ideal candidate is a proactive problem‑solver, an effective communicator, and a confident leader who understands the importance of delivering a white-glove service experience to both our facility partners and the patients we serve.

This individual will serve as the primary operational liaison between Visiting Docs and facility leadership, including Administrators, Executive Directors, Directors of Nursing/Wellness, and other key stakeholders.

Key Responsibilities

Multi‑Site Operations Management

  • Oversee day‑to‑day operations and service delivery across multiple assigned Assisted Living Facilities.

  • Maintain a consistent, hands‑on onsite presence to ensure operational standards are met.

  • Travel between assigned facilities throughout the day as operational needs require.

  • Monitor staffing, scheduling, workflow efficiency, and overall service performance.

  • Identify operational challenges and implement timely, practical solutions.

  • Ensure Visiting Docs services are delivered consistently, efficiently, and professionally.

Facility Relationships & White‑Glove Service

  • Develop and maintain strong, positive working relationships with facility leadership.

  • Serve as the primary point of contact for operational concerns, service requests, and facility feedback.

  • Ensure a high level of responsiveness, professionalism, communication, and follow‑through.

  • Proactively identify potential concerns before they escalte into complaints.

  • Address and resolve issues promptly while maintaining strong relationships with facility partners.

  • Promote a service‑oriented culture that consistently exceeds expectations.

Team Leadership & Accountability

  • Provide operational oversight, direction, and support to Patient Care Coordinators (PCCs), Medical Assistants, providers, and other assigned team members.

  • Establish clear expectations regarding professionalism, responsiveness, teamwork, attendance, and performance.

  • Monitor staff performance and address operational or behavioral concerns in coordination with appropriate leadership and Human Resources.

  • Coach, mentor, and support team members to improve performance and service quality.

  • Promote a positive, accountable, and patient‑focused work environment.

  • Collaborate with clinical leadership to address provider‑related operational concerns and ensure effective coordination of care.

Communication & Performance Improvement

  • Maintain regular communication with Visiting Docs leadership regarding facility operations, staffing, performance, and emerging concerns.

  • Monitor service quality and ensure timely resolution of operational issues.

  • Identify opportunities to improve workflows, communication, efficiency, and client satisfaction.

  • Assist with the implementation of organizational policies, procedures, and operational initiatives.

  • Ensure timely documentation, reporting, and follow‑up on operational matters.

Qualifications
  • Minimum 3–5 years of experience in healthcare operations, medical practice management, Assisted Living, senior care, or multi‑site healthcare operations preferred.

  • Previous supervisory or management experience required.

  • Experience working with healthcare providers and multidisciplinary teams strongly preferred.

  • Familiarity with Assisted Living Facilities, primary care operations, or similar healthcare environments preferred.

  • Strong computer proficiency and experience with Electronic Medical Records (EMR) systems required; eClinicalWorks experience strongly preferred.

  • Excellent interpersonal, organizational, communication, and problem‑solving skills.

  • Demonstrated ability to lead teams, manage competing priorities, and resolve concerns professionally.

  • Strong commitment to customer service, accountability, and operational excellence.

  • Ability to work independently, exercise sound judgment, and take initiative.

  • Ability and willingness to travel reliably and efficiently between multiple locations throughout Queens.

Work Schedule & Travel Requirements

This is a full‑time, primarily Monday–Friday position, with occasional after‑hours or weekend availability based on operational needs.

Regular onsite presence across all assigned facilities is an essential requirement of this position. The Regional Manager must be comfortable working in the field, interacting directly with facility leadership and staff, and traveling between locations during the workday as needed.

This is not a remote or primarily office‑based position.

Compensation & Benefits
  • Annual salary: $82,000–$90,000, commensurate with qualifications and experience.

  • Comprehensive employee benefits package.

  • Opportunity to play a meaningful leadership role in a growing healthcare organization.

  • Collaborative team environment with the ability to directly influence operational performance and service quality.
