Job summary

UNC Health Surgical Specialists at southeastern Health Mall in Lumberton, NC is looking for a Scheduling Specialist to manage physician, hospital, and outpatient referrals and coordinate patient appointments, tests, and procedures with accuracy and timeliness.

You will obtain insurance authorization, document demographics and medical information, and ensure HIPAA-compliant patient communication while maintaining thorough records and arranging follow-up care as needed.

Qualifications

• Six months to one year related experience and/or training; or equivalent combination of education and experience.
• High school diploma or GED required; higher-level degree may satisfy this requirement.

Responsibilities

• Collaborate with diagnostic and surgical areas, physician offices and hospitals to schedule appointments, tests and procedures accurately.
• Provide accurate patient information, including demographics and medical details, to ensure safety and quality care.
• Obtain accurate physician or advanced practitioner orders for all appointments, tests and procedures.
• Communicate appointment details and prep information to patients and families, upholding privacy and HIPAA.
• Ensure follow-up appointments are scheduled to discuss outcomes.
• Document appointment and test details in the medical record and update practice staff accordingly.

Summary

Processes physician, hospital, and outpatient referrals. Responsible for patient scheduling, obtaining insurance authorization, and providing appropriate guidance regarding insurance coverage. Essential duties and responsibilities are as follows. Other duties may be assigned.

Responsibilities

• Works collaboratively with all diagnostic and surgical service areas, physician offices and hospitals to ensure timeliness, accuracy and completeness when scheduling patient appointments, tests and procedures.
• Consistently provides accurate and detailed patient information to include patient demographics and medical information pertinent to appointment being scheduled to ensure patient safety and quality patient care.
• Obtains accurate and valid physician or advanced practitioner orders for all appointments, tests and procedures being scheduled.
• Accurately and consistently communicates appointment, test, procedure information and prep to patient and/or family member. Adheres to privacy, compliance and HIPAA regulations.
• Ensure patient has follow-up appointment with the physician to discuss outcomes, as appropriate.
• Consistently and accurately document the date and time of appointment, tests, scan or procedure in the patient's medical record. Communicate as appropriate to practice staff.
