You will support recruiters, candidates, and contractors through intake, onboarding, timekeeping, invoicing, and continuous documentation to ensure a professional experience.

Responsibilities

  • Answer and screen incoming recruiting line calls.
  • Assist candidates throughout the application process.
  • Guide candidates through the Applicant Tracking System (ATS).
  • Document candidate intake information accurately.
  • Assist with resume uploads and candidate records.
  • Maintain accurate and up-to-date ATS documentation.
  • Route qualified candidates and recruiting needs to the appropriate recruiter.
  • Coordinate and schedule candidate interviews.
  • Conduct professional reference checks.
  • Schedule required background checks and drug screenings.
  • Assist candidates with onboarding paperwork and required documentation.
  • Support compliance documentation through QuickBooks and DocuSign.
  • Track outstanding onboarding requirements and follow up to ensure timely completion.
  • Review contractor time entries for accuracy and completeness.
  • Identify discrepancies and make approved time adjustments when necessary.
  • Escalate timekeeping concerns to recruiters.
  • Send weekly timekeeping reminders to active contractors.
  • Follow up on missing or incomplete time submissions.
  • Send weekly invoice reminders to contractors.
  • Track missing and late invoices.
  • Follow up directly with contractors regarding outstanding documentation.
  • Notify recruiters of recurring or unresolved invoice issues.
  • Maintain organized records to support accurate and timely processing.
  • Provide ongoing administrative support to active contractors.
  • Assist with contractor questions and route issues to the appropriate team member.
  • Track contractor milestones and retention initiatives.
  • Coordinate and track appreciation packages for active contractors.
  • Help ensure contractors receive consistent communication and support throughout their assignments.

What You'll Be Doing
Candidate Support & Intake
