Duration: 3-month contract with potential for extension
About the Role
We are seeking an experienced Recruiting Operations & Onboarding Coordinator to support a high-volume university hiring program focused on technical and software engineering roles.
This role focuses on the offer-to-start process, not sourcing. You’ll own the candidate journey from offer acceptance through day one, ensuring pre-employment requirements are completed accurately and on time.
The ideal candidate is highly organized, knowledgeable in pre-employment compliance, comfortable working independently, and skilled at partnering with hiring managers and cross-functional teams to deliver a seamless candidate experience.
Key Responsibilities
- Own the offer-to-start process, from offer acceptance through day-one readiness.
- Coordinate background checks, I-9/work authorization, and other pre-employment documentation.
- Review requisition and offer details for accuracy before processing.
- Partner with hiring managers, recruiters, and stakeholders to keep onboarding on track.
- Manage multiple candidates concurrently while meeting service-level agreements and response-time expectations.
- Communicate clearly and professionally with candidates and stakeholders throughout onboarding.
- Track progress, proactively resolve or escape blockers, and recommend solutions.
- Coordinate immigration documentation, relocation, and screenings as needed.
- Identify opportunities to improve onboarding workflows and support peak hiring periods.
Required Qualifications
- 3+ years of experience in recruiting operations, recruiting coordination, or onboarding, with a focus on offer management and post-offer processes rather than sourcing.
- Hands-on experience with pre-employment compliance, including background checks, I-9/work authorization, and employment documentation.
- Experience managing high-volume onboarding, including 15+ hires per month or multiple concurrent candidates.
- Strong written and verbal communication and stakeholder management skills.
- Excellent organization, attention to detail, and ability to work independently in a fast-paced environment.
Preferred Qualifications
- Recruiting or onboarding experience within a large technology company or enterprise environment.
- Familiarity with immigration documentation, visa processes, or relocation coordination.
- Experience with process improvement, workflow audits, SOPs, or tracking systems.
- Proficiency with HRIS/ATS platforms such as Workday or iCIMS.
- Experience supporting university recruiting, campus hiring, or early-career talent programs.
