Job description

The Position

The City of Diamond Bar is seeking a highly motivated and customer service-oriented team member to serve as a full-time Recreation Coordinator in the Parks and Recreation Department! This vacancy is assigned to the Diamond Bar Center assisting with the daily operation of the Diamond Bar Center, and the supervision and coordination of facility reservations of the Diamond Bar Center, Heritage Park Community Center, Pantera Park Activity Room, and picnic shelters.

The Recreation Coordinator, under general supervision, plans and organizes special events and recreation programs (includes facility reservations); trains part-time staff and volunteers; monitors classes and facility; coordinates daily activities at the facility; formulates rental contracts, assists in planning and monitoring private rentals, classes, and senior activities at the Diamond Bar Center. Maintains appropriate filing database to keep confidential information safe and secure. Reports quarterly insurance reports, schedules part-time staff to assist with event set-up and breakdown; and performs related duties as assigned. This position will work a 9/80 schedule Saturday - Wednesday with every other Saturday off. (Hours: Saturday 3 p.m. - 1 a.m., Sunday 2 p.m. - 12 a.m., Monday 9 a.m. - 7 p.m., Tuesday - Wednesday 8 a.m. - 6 p.m.) Exact hours may vary depending on scheduled events and programs. Some remote work days may be available.

Examples Of Essential Job Duties

  • Coordinates daily facility use; completes facility rental contracts, takes registrations, accepts payments and deposits, and issues receipts; explains procedures to renters, part-time staff, facility users, and volunteers.
  • Provides direction, training and scheduling of part-time Recreation Leaders, Facility Attendants, and volunteer staff; conducts staff meetings to discuss participation and status of programs and needed improvements.
  • Checks facilities for safe conditions and operations and reports needed maintenance and repairs.
  • Completes and updates daily activity logs, records, and files; tracks attendance, revenues, and incidents associated with events.
  • Prepares and updates monthly calendar of activities and special events.
  • Assists with the preparation and distribution of marketing materials, including fliers, brochures and pamphlets and social media ads.
  • Maintains inventory of rental equipment, office, and other recreation facility supplies.
  • Assists in preparation of annual program and special events budgets; monitors actual revenues and expenses.
  • Plans and organizes City-wide special events; orders and arranges for supplies and equipment and contract personnel; incorporates ideas for improvement that can be represented to recreation supervisory and management staff.
  • Serves as department liaison in meetings involving students, volunteers, committees, community organizations and clubs given questions regarding specific programs, events, and daily activities.
  • Prepares weekly activities and events summaries used in reports, agendas, correspondence, and program announcements.
  • Works effectively with interdepartmental staff to assist with the coordination and support for City events and programs held at the Diamond Bar Center, Heritage Park Community Center, Pantera Activity Room and City parks.

Qualification Guidelines

Knowledge Of

Principles and practices of recreation and leisure services program administration; State and local health and safety regulations; event planning practices; basic accounting and purchasing procedures; marketing and promotional practices; research and report writing techniques; budgeting and costing procedures; contract administration procedures; basic principles of employee supervision, training and evaluation; customer service techniques.

Ability To

Operate a computer to utilize word processing, spreadsheet, database, facility reservation software, and graphics software programs; plan, organize, review, and evaluate the work of part-time and seasonal employees; plan, organize, and assign tasks and train others regarding work procedures and requirements; administer projects, programs, and special events; establish and maintain cooperative working relationships with staff, management, contractors, vendors, and the general public; follow oral and written instructions; communicate effectively, both orally and in writing; prepare clear, concise and complete records, reports and correspondence.

Education

Bachelor's degree in recreation, business administration, public administration or a closely related field.

Experience

Three years of increasingly responsible recreation experience including budget, program planning, and administrative assignments.

Lead or supervisory experience and/or facility reservations are highly desirable.

Experience working in the hospitality industry is a plus.

Licenses And/or Certificates

Must possess and maintain a valid class C California driver's license and an acceptable driving record throughout employment.

Special Requirements

Ability to travel to different sites and locations.

Ability to lift at least 50 pounds.

Selection Process

Candidates whose education, experience and/or training appear to be best qualified will be invited to participate in an Oral Interview: 100%.

The top candidate(s) will be required to successfully pass a criminal background check, verification of work experience, and submit an official copy of educational transcripts verifying obtained degrees or certificates as indicated on the employment application. The selected candidate will be required to successfully pass a medical examination after a conditional job offer is made.

The City of Diamond Bar offers an outstanding benefits package. The key components are listed below.

  • Accrued Leave: Accrual of eighty (80) hours of vacation (first day of employment through year five), accrual of eighty (80) hours sick leave, eleven (11) designated holidays and eighteen (18) floating holiday hours.
  • 9/80 Work Schedule: Full time City staff participate in a 9/80 work schedule program.
  • Retirement: Employees hired after January 1, 2013 who are existing CalPERS members or a member of an agency with reciprocity with the City of Diamond Bar will be enrolled in the 2% @ 55 retirement benefit formula. The City pays both the employee and employer share for Classic members. Employees hired after January 1, 2013 who have never been a CalPERS member, is a member of a retirement system that has reciprocity with CalPERS or has membership with CalPERS but has a break in service longer than six months will be enrolled in the 2% @ 62 CalPERS retirement benefit formula. Employees contribute half of the normal benefit cost for this retirement benefit.
  • Health, Dental, & Vision Insurance: The City of Diamond Bar pays for employee coverage for dental and vision insurance and dependent coverage is available. Employees receive a benefit allotment of $1,720 per month for employee and dependents' health insurance coverage. Dental and vision benefits for dependents may be taken from the benefit allotment.
  • Life Insurance: The City of Diamond Bar provides a $75,000 term life insurance policy. Employees may purchase additional insurance coverage at group rates.
  • Deferred Compensation: Employees are eligible for participation in the deferred compensation programs offered through MissionSquare.
  • Flexible Spending Accounts: Employees are eligible to participate in IRS Code Section 125 Health and Dependent Care Flexible Spending Account programs, thereby lowering their tax liability.
  • Personal Computer Loan Program: Employees are eligible to receive an interest free loan up to $2,500 for the purchase of a personal computer.
  • Employee Assistance Program: Employee Assistance Program is available at no cost.
  • Short-Term/Long-Term Disability: Short-Term and Long-Term Disability benefits are provided at no cost.
