  • Sort and distribute incoming and outgoing mail, packages, courier deliveries, and confidential shredding materials.
  • Prepare outbound shipments, track deliveries, maintain shipping records, and support supply distribution.
  • Assist with office services, room checks, workspace setups, copier area maintenance, and general facility support tasks.

Job Summary

We are seeking a detail-oriented Records Digitization Specialist for a full-time, direct hire opportunity in Seattle, WA. This role is ideal for someone with high-volume document scanning experience who enjoys organized, process-driven work in a professional office environment. The Records Digitization Specialist will support a large-scale records conversion project by preparing, scanning, indexing, quality checking, and organizing confidential business documents. In addition to records digitization, this position will assist with mailroom operations, shipping and receiving, package delivery, office services, and workplace support. This is a long-term opportunity with a stable, team-oriented environment, supportive onsite leadership, and training to help you succeed. Candidates who are dependable, accurate, adaptable, and comfortable handling confidential information will be well positioned for success.

Key Responsibilities
  • Prepare, scan, index, name, and quality check large volumes of physical documents for electronic records conversion.

Compensation and Benefits
  • Pay range: $22.00 to $24.00 per hour.
  • Job type: Direct hire.
  • Schedule: Full-time.
  • Location: Onsite in Seattle, WA.

Required Qualifications and Skills
  • Support a large-scale records digitization project involving document preparation, scanning, indexing, quality control, and file management.
  • Balance document imaging responsibilities with mailroom, shipping, receiving, package delivery, and office services support.
  • Handle confidential business and legal documents with accuracy, discretion, and compliance with document security procedures.
  • Operate office equipment and document production tools while maintaining quality standards and meeting deadlines.
  • High School Diploma, GED, or equivalent work experience required.
  • Prior experience scanning high volumes of documents is required.
  • 1 to 2 years of related administrative, records, scanning, mailroom, copy center, office services, or legal support experience preferred.
  • Strong computer proficiency, including Microsoft Outlook, Word, and Excel.
  • Ability to operate or learn high-volume scanners, copiers, postage equipment, shipping platforms, and image handling software.
  • Strong attention to detail, organization, time management, and follow-through.
  • Ability to work independently with minimal supervision while supporting multiple teams.
  • Professional customer service, written communication, and verbal communication skills.
  • Ability to handle sensitive and confidential documents in a deadline-driven environment.
  • Ability to lift up to 50 pounds, move file boxes, push carts, stand and walk throughout the day, and perform bending, reaching, lifting, and carrying as needed.
Preferred Qualifications
  • Experience in records management, document imaging, document control, or electronic document management systems.
  • Legal industry, legal support services, litigation support, or information governance experience.
  • Mailroom operations, shipping and receiving, office services, copy center, or print production experience.
  • Experience with OCR, file conversion, file indexing, naming conventions, FTP file transfers, scanning software, and quality control procedures.
  • Experience operating production scanners, multifunction devices, production print equipment, bindery equipment, or shipping and tracking platforms.
  • Experience working with confidential documents in a corporate, legal, professional services, or business services environment.
