Job summary

R.D. Offutt Company is seeking a Records and Parts Coordinator to support the Group VI Aviation maintenance team with work orders, parts procurement, inventory coordination, and reporting.

You will collaborate with aviation mechanics, vendors, and leadership to ensure maintenance activities are completed accurately and on time while maintaining safety and compliance.

Qualifications

  • High School Diploma or GED required.
  • Experience in administrative support, purchasing, inventory management, work order administration, maintenance support, or related field preferred; aviation industry experience is a plus.
  • Proficiency with Microsoft Excel and Microsoft 365 applications, including Outlook, Teams, SharePoint, and Word.
  • Strong organizational, communication, and time management skills, with the ability to maintain accurate records, manage multiple priorities, and follow through on assignments.
  • Ability to work independently and collaboratively while handling confidential and sensitive information.
  • Candidates must have valid work authorization and be able to work in the U.S. without company sponsorship.

Responsibilities

  • Create, maintain, and close aircraft maintenance work orders.
  • Order aircraft parts, tools, supplies, and other materials necessary to support maintenance operations.
  • Coordinate with mechanics to identify parts and inventory needs.
  • Receive, track, and document parts orders and shipments.
  • Maintain inventory records and assist with inventory control activities.
  • Communicate with vendors regarding pricing, availability, and delivery schedules.
  • Maintain maintenance, inventory, and purchasing reports using Microsoft Excel and Microsoft 365 applications.
  • Assist with continuous improvement efforts related to maintenance administration, inventory control, and documentation.
  • Perform other duties and responsibilities as assigned.
  • Follow safety rules and regulations while performing work assignments and adhere to policies in manuals and employee handbook.
  • Conduct self in presence of customers to present a professional image of Group VI.
  • Proactively seek and participate in available training to develop skills.
  • Participate in company/location driven communication and department meetings.
  • Maintain positive professional relationships with peers, management and support resources.
  • Perform all other duties as assigned by management.

Job description

The Record and Parts Coordinator provides administrative and logistical support to the Group VI Aviation maintenance team. This position is responsible for supporting maintenance operations through work order administration, records support, parts procurement, inventory coordination, and reporting activities. This role works closely with aviation mechanics, vendors, and leadership to help ensure aircraft maintenance activities are completed efficiently and accurately.

Job Requirements:

  • High School Diploma or GED required
  • Technical school education, administration, logistics, related field, or equivalent work experience, preferred.
  • Experience in administrative support, purchasing, inventory management, work order administration, maintenance support, or related field preferred; aviation industry experience is a plus.
  • Proficiency with Microsoft Excel and Microsoft 365 applications, including Outlook, Teams, SharePoint, and Word.
  • Strong organizational, communication, and time management skills, with the ability to maintain accurate records, manage multiple priorities, and follow through on assignments.
  • Ability to work independently and collaboratively while handling confidential and sensitive information.
  • Ability to work in both office and hangar environments and occasionally lift or move parts, supplies, and materials up to 25 pounds.
  • Candidates must have valid work authorization and be able to work in the U.S. without company sponsorship.
