Job summary

Wesley Community Center in Houston, TX seeks a Front Desk Receptionist to provide a welcoming point of contact for clients, staff, and visitors. The role includes screening, intake support, and clerical tasks across the organization, including data entry in Wesley’s database and Excel.

The ideal candidate is bilingual (English/Spanish), capable of multitasking, and able to work with minimal supervision while delivering high-quality customer service.

Qualifications

  • Must be bi-lingual, English and Spanish (written and spoken).
  • High school diploma or GED; 1–2 years related experience preferred.
  • Ability to multi-task and maintain organization under pressure.

Responsibilities

  • Serve as point of contact for walk-in traffic and phone inquiries.
  • Grant access to the center following Visitor Policy.
  • Maintain client information and program tracking in Wesley database and Excel.
  • Assist with intake paperwork and data entry.
  • Provide information and referrals to staff and visitors.
  • Maintain a professional, friendly demeanor with clients.

Job Title: Front Desk Receptionist

Department: Community Services

FLSA Status: Non-Exempt

Job Status: Full-time

Reports To: Director of Community Services

Supervises: None

Position Description: The Front Desk Receptionist is responsible for providing a point of contact for all walk-in traffic, incoming calls, granting access to the center and supporting the highest level of customer service for clients, staff, and visitors. This employee answers queries of individuals who contact the organization, including those who want general information about Wesley Community Center. This employee will conduct basic program screening and intake with clients. Provides clerical and administrative support throughout the organization. ---

Essential Functions
  • Grant access to building by appropriate implementation of Visitor Policy.
  • Answer incoming calls, assist callers, take messages, provide information, make community referrals, and direct calls to staff members.
  • Notify appropriate supervisor of any critical incidents or emergencies.
  • Update and maintain client information and program tracking through data entry in Wesley database and in excel workbooks.
  • Screen potential clients for Wesley programs using self-sufficiency matrix.
  • Help clients to complete Wesley Intake paperwork and enter the data into Wesley’s database.
  • Must be able to give directions, request paperwork and schedule appointments in a timely manner.
  • Must have strong communication skills and be organized with keeping client records, and distributing materials to the appropriate staff members.
  • Maintain a safe environment by monitoring the entering and exiting of clients and visitors, able to use good judgment in contacting appropriate personnel as needed.
  • Maintain a professional and personable demeanor while working with clients in a non-judgmental way.
  • Must maintain cleanliness of the Reception as well as the Lobby area.
  • Participate in agency activities and committees as needed or desired.
  • General office clerical and computer skills required (Microsoft Office).

Skills, Abilities, Knowledge: Must be bi-lingual. Able to communicate well in English and Spanish (written and spoken); Must be able to multi-task; Because of the nature of this position, it will require someone pleasant, personable, patient and having a desire to be of assistance to those in need. Ability to work well under stressful conditions. Able to work with minimum day to day supervision.

Education & Experience: High school diploma or general education degree (GED); one to two years related experience and/or training.
