Qualifications

  • High school diploma or GED required; advanced secretarial skills or degree preferred.
  • Minimum six months of receptionist/office assistant experience.
  • Typing speed of at least 40 wpm; proficient with Microsoft Word and other Office apps.

Responsibilities

  • Assist guests entering/exiting the facility and greet the public in a friendly manner.
  • Answer multi-line telephone and route calls; take messages and distribute.
  • Enter monthly ancillaries for labs, radiology, pharmacy charges and monitor timely submission.
  • Open mail daily and distribute; batch checks and scan for posting.
  • Provide administrative support and maintain resident/file records; coordinate meetings/events.

JOBSUMMARY: $10- $13.00 Full time 4pm-10pm M-F | Part time Sat & Sun 10am-6pm

Theprimary purpose of the Receptionist/Office Assistant position is to provideexcellent customer service to our external public and clerical support for theadministrative needs of the facility and to assure resident safety.

JOBDUTIES & RESPONSIBILITIES:
PublicRelations Functions
  • Assist guests withentering/exiting facility.
  • Greet the public in aninviting and friendly manner.
  • Offer refreshment, engagein light conversation and fulfill visitors’ requests as necessary.
  • Answer a multiple linetelephone and direct callers to the appropriate person or department.
  • Take accurate messages androute to appropriate person/department.
  • Escort visitors, ifnecessary, to resident rooms or other areas of the facility.
  • Provide generalinformation, directions, etc. about the facility and services to visitors,guests, residents, vendors, etc.
  • Ensure guests/visitorsabide by existing rules and refuse admission to persons as directed andnecessary.
  • Report suspiciouspersons/information to supervisor immediately.
  • Screen disgruntled vendor,family member and associate calls and direct them to the appropriateperson.
  • Assist in orientation ofnew associates as directed.
  • Create and maintain anatmosphere of warmth, personal interest, and positive emphasis, as well asa calm environment throughout the facility.
  • Enter monthly ancillaries for labs, radiology,pharmacy charges, etc. (follow up with vendors to ensure this information issent timely and prior to close - typically on the first working day of themonth)
  • Reconciliation and management of facility petty cash
  • Reconciliation and management of the resident trustfund petty cash
  • Distributefunds to residents following facility and governmental guidelines
  • Open mail daily and distribute
  • Batch checks received in the mail and from familiesdaily and scan to AR Mailbox and to Vanguard Cash for corporate posting ifpayments toward account balances, then scan payments into the appropriateaccount using the check scanner. (resident trust fund - Simply Deposit,payments for patient account balances - Pinnacle Bank)
  • Manage RFMSand complete necessary forms for completing representative payee for SocialSecurity
  • Process and send resident trust fund statementsquarterly or when requested by the family
  • Provides assistance to the Administrative team inspecial assigned projects.
  • Perform general secretarial and administrativeduties as required by the Administrator team.
  • Maintain a productive working relationship with themedical professionals and other health related facilities and organizations.
  • Sendre-authorizations for managed care.
  • Assist withadmissions paperwork.
  • Assist withfacility tours.
  • Submit HMOauthorizations
  • Provideback-up assistance for Admissions and Business Office Manager.
AdministrativeSupport Functions
  • Receive and followreception schedule from your supervisor.
  • Receive requests fromwithin the facility and locate person through paging system.
  • Receive, sort anddistribute mail as directed.
  • Operate copier, officemachines i.e., fax, adding machine, calculator, etc. as directed.
  • Operate computer asdirected.
  • Order officesupplies as directed.
  • Assist departmentdirectors in administrative matters (i.e., typing reports, correspondence,etc.)
  • Maintain a currentfile/listing of residents by name and room number, emergency phonenumbers, members of on-call staff, department extensions, key staffextensions, etc.
Meeting/EventPlanning Functions
  • Coordinate hotel,transportation meal arrangements as directed.
  • Order and coordinateset-up for lunches for meetings or special events.
JOBREQUIREMENTS:
Education
  • Mustpossess a high school diploma or GED equivalent.
  • Advancededucation in secretarial skills or degree is desired.
Experience
  • Musthave a minimum of six (6) months experience as a Receptionist, Office Assistantor similar position.
  • Mustbe able to type a minimum of 40 wpm.
  • Mustbe familiar with Microsoft Word.
  • Shouldbe familiar with other Microsoft applications (i.e. EXCEL, PowerPoint,Publisher, Outlook)
  • Mustbe able to handle multiple tasks and perform well under pressure of deadlines.
