Description

Coordinate and facilitate support of office and front desk tasks related to answering phones, referrals, scheduling appointments, visitors, release of information.

The starting pay for this position is $15.00 per hour with credit given for relative education and experience above what is required for the position up to $17.10 per hour. Annualized $31,200.00 - $35,568.00 for Full-Time.

  • Responsible for ensuring front office is open and fully operational at designated business hours and managing the front desk
  • Ensure office environment is welcoming, including a clean and organized reception area, copy room and bathrooms
  • Greet all IMPOWER clients, families, guests/visitors and vendors in a friendly and professional manner
  • Deliver and promote excellent customer service
  • Ensure all visitors follow the appropriate sign-in/sign-out process
  • Answer and respond to all incoming calls and promptly direct messages to the appropriate person as necessary
  • Provide general information on program services to referring inquiries; records referrals information as necessary
  • Assist callers with miscellaneous inquires, payment related questions, release requests, etc.
  • General office duties such as sorting mail, scanning, faxing, mailing documents, etc.
  • Maintain the organization and tidiness of the front office and copy room
  • Upload client documents and information into electronic health record
  • Schedule appointments for clients as needed with JPOs, GALs, CMs, etc.; monitor virtual visits as necessary
  • Confer with staff members to assist clients and their families/guardians as needed
  • Ensure proper operations of all office equipment such as multi-line telephones, computer hardware, copy/fax/scanner machine, electronic signature pad, etc.
  • Update and maintain Consent for Visitation form for each client
  • Communicate needs of the client to the appropriate party (i.e. family/guardian, Case Manager, JPO, health professional, educational specialist, DCF Case worker, etc.)
  • Maintain office supplies in stock and complete purchase requisitions as needed
  • Completes all other tasks and duties as assigned or as needed to help drive The Grove and IMPOWER's vision, fulfill our mission, and abide by our organization's values.
  • Complete required training courses within designated time frame
  • Abide by ethics, policies and procedures and professional standards of IMPOWER.

Requirements

  • High School Diploma or GED Certificate required
  • Bilingual English/Spanish required
  • Successful background screenings through local law enforcement, Florida Dept. of Law Enforcement, and FBI.
  • Minimum of 1 year experience in a medical office setting and working with a challenging clientele.
  • Must have reliable transportation.
  • Current Florida Driver's License, an insurance driving record and proof of insurance meeting IMPOWER insurance carrier requirements
  • Experience working with Medicaid billing a plus
  • Valid drivers license and auto insurance, and successful motor vehicle driving record background check
  • Negative result from a multi panel drug screen
