As a Receptionist in our senior living community, you’ll serve as a trusted resource for residents, families, visitors, and associates while helping coordinate daily front-desk operations, resolve concerns, and support important community initiatives.

What You’ll Do
- Create a warm, professional, and welcoming first impression for residents, families, visitors, prospective residents, and associates.
- Manage complex and high-volume telephone and front-desk activity, ensuring inquiries are handled accurately, efficiently, and professionally.
- Help coordinate daily front-desk operations to ensure consistent coverage, communication, organization, and service.
- Assist with onboarding, training, and mentoring new reception associates on front-desk procedures, telephone systems, technology, confidentiality, and resident service expectations.
- Serve as a key liaison between residents, families, associates, department leaders, and management to facilitate effective communication and timely resolution of concerns.
- Respond to resident and family questions or concerns with professionalism, empathy, and sound judgment, escalating sensitive or complex matters when appropriate.
- Coordinate resident appointments, transportation, activities, and other services as assigned, ensuring accurate scheduling and communication.
- Maintain resident files, administrative records, reports, and other documentation with a high degree of accuracy and confidentiality.
- Support business office functions, including billing documentation, invoice processing, accounts payable records, supply management, correspondence, and other administrative responsibilities.
- Utilize office software and technology to prepare correspondence, reports, spreadsheets, schedules, records, and other administrative materials.
- Maintain a professional, organized, and welcoming reception area that reflects the community’s standards.
What We’re Looking For
- High school diploma or equivalent required.
- Additional education, coursework, or certification in office administration, business, customer service, healthcare administration, or a related field preferred.
- 3+ years of receptionist, administrative, office, or customer service experience.
- Previous experience providing leadership, training, mentoring, or day-to-day guidance to other team members preferred.
- Senior living, healthcare, hospitality, or another service-oriented industry experience strongly preferred.
- Excellent communication, interpersonal, and customer service skills.
- Advanced proficiency with Microsoft Office applications and the ability to learn community-specific software and technology.
- Ability to manage multiple projects, deadlines, resident needs, and administrative assignments simultaneously.
- Strong attention to detail and commitment to maintaining accurate records and documentation.
- Patience, empathy, and professionalism when working with older adults and their families.
