Job Overview

The full‑time Receptionist will serve as the first point of contact for RDV Corporation’s guests and callers. He/she will warmly welcome guests and provide clerical support and complete projects as assigned.

What You’ll Do
Reception
  • Monitor telecommunications system for all incoming calls; transfer calls to extensions or voicemail; take detailed messages; handle inquiries or direct them to appropriate staff; notify staff of pending messages. Handle general inquiries without supervision.
  • Greet and welcome visitors and guests, ensuring a top‑priority experience. Announce arrival to team members; distribute parking passes; offer and serve beverages.
  • Collaborate with team members to prepare for special events; assist exiting guests as needed.
  • Collaborate with the reception team to complete opening procedures and maintain operational readiness.
  • Monitor calendar system to ensure preparedness for guest arrival and adequate staff presence.
  • Disburse daily newspapers and follow up if any are missing.
  • Provide coverage for the other Receptionist during scheduled breaks, vacations, and absences.
  • Handle multiple priorities and deadlines with exemplary follow‑through and confidentiality.
  • Maintain readiness of postage meter, common‑use printer; replace toner, cartridges, paper, and order supplies as needed.
  • Identify potential problems, needs, or inefficiencies; propose innovative solutions.
  • Open, sort, and distribute incoming mail; prepare outgoing mail (certified and express packages) for pickup by courier services.
  • Coordinate UPS/courier shipments and pickups.
  • Assist Facilities Operations Team in maintaining a neat and tidy reception area.
Administrative
  • Shop for products using Amazon, Amway, and other sources upon request from Executive Services/Family Services teams.
  • Type and proofread documents.
  • Distribute supplier Christmas checks and cards.
  • Track corporate Christmas gifts and thank‑you notes.
  • Scan invoices into DocuPhase for Accounting (2‑3 hrs per week) and for the CEO.
  • Create and maintain files, binders, indexes, and forms.
  • Assist with special projects as assigned.
What You’ll Bring
  • Experience as a receptionist or administrative assistant in a professional, fast‑paced corporate environment.
  • Excellent verbal and written communication skills; ability to organize, prioritize, follow through on projects, and work independently.
  • Attentive to detail; ensure visitors are warmly welcomed and experience hospitality.
  • Effective collaboration with all management levels; maintain confidentiality and adapt duties as required.
  • Proficiency in Microsoft Office; database experience preferred.
  • Knowledge of office machines and equipment (copier, printer, postage meter, etc.).
  • Strong command of English grammar in spoken and written word.
  • Professional, mature, courteous, cheerful, outgoing, and gracious demeanor.
  • High integrity, ethics, discretion, and dedication to the organization’s mission.
Essential Physical Demands
  • Lift/transport boxes of approximately thirty (30) pounds; stoop, bend, and climb steps and stairs.
