Position Summary:

TheReal Estate Office Administratoris responsible for managing internal systems, supporting agent operations, overseeing office logistics, and assisting with lead engagement efforts. The ideal candidate is highly organized, technology-savvy, and able to handle multiple responsibilities with confidence and minimal supervision.

Key Responsibilities:

CRM & Project Management:

  • Maintain and organize client records, task flows, and communication logs withinLofty CRM, ensuring data accuracy and usability for the sales team
  • Manage project workflows, assign tasks, track deadlines, and maintain transparency across team initiatives

Office & Operations Management:

  • Manage daily office operations, including ordering supplies, maintaining office cleanliness, and liaising with vendors to ensure a productive work environment
  • Track and manage inventory of marketing and operational tools such asyard signs, lockboxes, and business cards, ensuring agents are equipped and prepared

Lead & Executive Support:

  • Make professional outbound calls to follow up with leads on behalf of the executive team, helping to build rapport and move prospects through the pipeline
  • Provide administrative support to leadership, including scheduling appointments, preparing documents, coordinating team communication, and assisting with day-to-day needs

Reporting & Analysis:

  • Generate and analyze reports from CRM and internal systems to monitor lead activity, team performance, and marketing efforts
  • Identify trends and opportunities to improve operations and support data-driven decision-making through regular reporting

Qualifications:

  • Minimum of1 year of administrative or operations experience; real estate or fast-paced client-service experience preferred
  • Proficient withLofty CRM,Asana, or similar CRM/project management platforms
  • Excellent organizational and time-management skills with strong attention to detail
  • Confident and professional communication skills, especially over the phone
  • Analytical thinker with the ability to interpret data and contribute to performance optimization
  • Self-starter who can work independently and adapt in a team-oriented, fast-paced environment
