Job summary

Steelhead Americas, Vestas' renewable energy development arm in North America, is seeking a Real Estate Administrator to join the team and manage land lease and easement agreements across the United States.

The role covers agreement intake, records integrity, contract system accuracy, reporting, payment coordination, and general admin support to meet contractual and regulatory obligations.

Qualifications

  • 5+ years in administrative, legal, contract, or real estate support.

Responsibilities

Job description

Steelhead Americas, Vestas' renewable energy development arm in North America, has a growing pipeline of wind and wind/solar hybrid projects and is seeking a Real Estate Administrator to join the team.

The Real Estate Administrator will manage Steelhead's library of land lease and easement agreements with landowner partners across the United States. This role is responsible for agreement intake, records integrity, contract system accuracy, reporting, payment coordination, and administrative support that helps Steelhead meet its contractual and regulatory obligations.

Responsibilities:
  • Agreement lifecycle administration: Serve as the primary administrative point of contact for real estate agreement lifecycle management, including agreement intake, review, routing, execution tracking, mailing, and onsite filing of original hard-copy documents.
  • Records and contract management: Review incoming agreements and associated documents for completeness; scan and save documents for legal review and approval; audit agreement details entered into contract management systems for completeness, consistency, and data accuracy.
  • Reporting and payment coordination: Run quarterly reports identifying agreements expiring in the coming year and upcoming monthly payment obligations; notify appropriate internal stakeholders; and process required payments for applicable agreement obligations on a monthly basis.
  • Compliance support: Complete and submit reporting required under applicable state and federal foreign ownership laws and support related internal documentation needs.
  • Landowner and cross-functional coordination: Work with project development, legal, finance, and land acquisition teams, as well as landowners, to collect and maintain accurate contact information and support timely follow-through on agreement-related items.
  • General Admin: Provide general administrative support and collaborate with the Development Coordinator on team processes, documentation, scheduling, and follow-up needs.
Qualifications:
  • High school diploma or equivalent with 5+ years of relevant administrative, legal, contract, real estate, records management, finance, or payment coordination experience; or bachelor's degree with 2+ years of directly related experience.
  • Excellent oral and written communication skills.
  • Excellent attention to detail and focus on process quality and consistency.
  • Working knowledge of Microsoft Word, Microsoft Excel, and Microsoft Outlook; comfort working with databases, document management systems, contract management tools, and data accuracy processes.
  • Ability to plan, organize, multi-task, prioritize, and execute assigned workload to meet multiple deadlines.
  • Strong follow-through, sound judgment, and the ability to handle confidential documents and sensitive information appropriately.
