This role is responsible for scoping labor, parts, materials and outside services; building competitive and profitable estimates; and planning the sequence of work so technicians have what they need when they need it. The Quoting, Planning & Scheduling Manager does not own the customer relationships, as quotes are handed off to Sales, CSM’s and Department Management who manage all customer communications. Accuracy here directly drives turn-time, margin and the quality of information the customer-facing teams rely on.
Key Responsibilities
  • Review incoming requests for quote (RFQs), work scopes and inspection discrepencies (squawks) to define work required

  • Reference maintenance manuals, illustrated parts catalogs, service bulletins, airworthiness directives (ADs), and historical job data to scope work correctly
  • Prepare quotes and provide them to sales, customer support, and program management for delivery to the customer; revise and re-quote as scope changes or additional findings arise
  • Identify “over-and-above”/additional work items and route them to the responsible department or customer support manager for customer approval before work proceeds

Planning & Work Order Management

  • Build work orders based on quotes and needed manpower throughout all departments
  • Identify and order all parts, materials and tooling requirements and coordinate with purchasing/parts on availability and lead times
  • Flag long-lead times, AOG situations, and capacity constraints that affect schedule and turn-time
  • Ensure the work order documentation is accurate through input of project

Scheduling & Capacity Planning

  • Work with Department Managers to build and maintain the master shop schedule, slotting inducted work into available hangar/bay space and labor capacity across all department
  • Sequence work to meet promised induction and delivery dates based on department schedules
  • Adjust the input schedule in real-time as work scope changes, parts delays, or capacity constraints arise, and communicate revised timing of the input to the affected Department Managers and CSMs
  • Provide schedule visibility and turn-time projections to Sales, CSMs, and Department Managers so they can set and manage customer expectations

Coordination & Tracking

  • Partner closely with Sales, CSMs and Department Managers, keeping them current on quote status, scope changes and timing so they can manage the customer relationship
  • Support input change orders and help identify variances early
  • Maintain quote logs, status reports, and turn-time metrics

Compliance

  • Ensure quoting and work order practices align with FAA Part 145 repair station requirements and company quality procedures
  • Ability to read and interpret techincal data - maintenance manuals (AMM/CMM), illustrated parts catalogs (PCs), service bulletins, and ADs
  • Working knowledge of aircraft maintenance processes (airframe, engine, avionics, and/or components, as applicable to the assigned shop)
  • Solid cost-estimating and quoting ability, with strong attention to detail and arithmetic accuracy
  • Comfort with Corridor and work order management systems: proficiency in Microsoft Excel
  • Strong organizational skills and the ability to manage multiple active jobs, priorities and deadlines simultaneously
  • Clear written and verbal communication for internal coordination across the shop floor, purchasing, sales, customer support, and MRO departments
