Job summary

Chartwells Higher Ed is hiring a full-time Quality Assurance Admin Assistant at George Washington University in Washington, DC. This role supports food service programs through clerical tasks, records management, and coordination with the QA team to ensure safety and compliance.

The ideal candidate has strong organizational skills and attention to detail; prior experience is preferred but not required. Monday–Friday with occasional weekend support; pay range $25–$28 per hour, benefits included.

Responsibilities

  • Answer telephones and direct inquiries professionally.
  • Maintain confidential personnel files.
  • Assist management with confidential employment and labor relations documents, including but not limited to proposed disciplinary notices.
  • Assist with staffing, including finding staff when employees call out on short notice.
  • Work effectively and maintain good working relationships with co-workers, school personnel, administrators, students' parents and Supervisor.
  • Complete and maintain accurate and up to date records of students eligible for free and reduced priced lunches if applicable.
  • Enter weekly cash sales and meal counts using computer.
  • Perform daily bank deposit reconciliation.
  • Process vendor invoices for payment - using computer, making sure addition is correct and checking item prices against bid specifications, making sure there is no discrepancy in pricing.
  • Perform monthly vendor statement reconciliation.
  • Prepare monthly state claim form for reimbursement.
  • Assist in preparation of end of month financial reports.
  • Attend in-service and/or safety meetings as required.
  • Maintain clean and safe work environment; ability to perform job safely.
  • Performs other duties as assigned.

Additional Responsibilities
  • Monitor food safety and sanitation practices throughout kitchens, dining locations, storage areas, and other food and beverage locations.
  • Conduct routine food safety inspections and operational walk-throughs.
  • Observe food handling, sanitation, allergen awareness, personal hygiene, and food safety practices and communicate identified concerns to the Quality Assurance Manager and appropriate unit management.
  • Partner with the Quality Assurance Manager and the specific unit's management team regarding coaching or corrective action needed when food safety or sanitation standards are not being followed.
  • Monitor proper food receiving, storage, preparation, holding, cooling, reheating, and service procedures.
