Summary

The Purchasing Specialist supports FIT Technologies' purchasing, procurement, inventory, asset management, shipping, receiving, and delivery operations. This role works closely with clients, vendors, and internal teams to identify purchasing requirements, evaluate sourcing options, analyze vendor proposals, recommend procurement strategies, and manage the acquisition of products and services. The Purchasing Specialist exercises independent judgment in vendor selection, purchasing decisions, and procurement strategy while ensuring purchases align with technical requirements, budget objectives, client needs, and organizational goals.The position also supports asset lifecycle activities, including procurement, inventory tracking, documentation, deployment, maintenance, and disposal. In addition, the Purchasing Specialist assists with shipping and receiving functions, verifies incoming and outgoing shipments, prepares outbound packages, coordinates equipment delivery to client sites, and helps ensure purchasing, procurement, and inventory processes are completed accurately, efficiently, and in alignment with client and organizational needs.

Key Responsibilities
Purchasing & Procurement Support
  • Consult with clients and internal stakeholders to understand purchasing requirements and recommend solutions that balance cost, technical requirements, availability, lifecycle considerations, and business needs.
  • Analyze competing vendor quotes, evaluate solutions, and recommend purchasing decisions based on pricing, quality, service levels, technical requirements, and organizational objectives.
  • Independently evaluate, select, and manage vendors based on pricing, product quality, availability, service levels, reliability, and business requirements.
  • Negotiate vendor pricing, discounts, contract terms, shipping arrangements, service levels, and purchasing agreements to maximize value and support organizational goals.
  • Determine appropriate sourcing strategies for standard and complex purchasing requests.
  • Authorize and commit purchases within established budgets, policies, and approval guidelines.
  • Manage the full procurement lifecycle, including requisitions, purchasing decisions, purchase orders, vendor communications, order tracking, receipt verification, client billing updates, and purchasing documentation.
  • Independently resolve significant vendor, pricing, availability, fulfillment, and purchasing‑related issues while minimizing operational and client impact.
  • Evaluate vendor performance, monitor supplier effectiveness, and determine when alternate vendors or sourcing strategies should be utilized.
  • Advise departments and stakeholders on purchasing options, vendor selection, procurement strategy, cost considerations, and product standardization opportunities.
  • Develop, recommend, implement, and continuously improve purchasing policies, controls, procedures, and workflow efficiencies.
Inventory & Asset Management
  • Manage products, inventory records, devices, assets, and related documentation across multiple clients and locations.
  • Analyze client environments, identify procurement requirements, and recommend tailored technology solutions.
  • Analyze inventory utilization, purchasing trends, asset lifecycle costs, and replacement requirements, and provide recommendations regarding purchasing, stocking, refresh, and replacement strategies.
  • Maintain automation for service tickets, products, inventory, client records, vendor records, purchase orders, quotes, charges, and operational checklists within business management platforms.
  • Maintain secure client documentation, SOPs, knowledge base articles, credentials, and operational records.
  • Utilize business management systems, remote monitoring and management platforms, and IT documentation systems to support software and hardware inventory management.
  • Manage asset lifecycle activities including planning, acquisition, procurement, deployment, utilization, maintenance, refresh, retirement, disposal, and liquidation.
  • Maintain FIT and client hardware and software standards and recommend improvements based on operational needs and industry best practices.
Shipping, Receiving and Logistics
  • Receive, inspect, and verify inbound shipments against purchase orders and procurement records.
  • Prepare outbound packages, shipping documentation, and inventory transactions while ensuring accuracy and compliance with established procedures.
  • Maintain accurate inventory records for goods entering and leaving the facility.
  • Coordinate shipment schedules, deliveries, and logistics activities with vendors, carriers, clients, and internal teams.
Delivery Support
  • Deliver supplies, equipment, and materials to client sites and FIT team members.
  • Coordinate with FIT's Purchasing and Field Support teams regarding equipment delivery and deployment activities.
  • Support client onboarding, equipment deployments, refresh projects, and inventory distribution efforts.
Required Qualifications
  • Preferred 2 years related experience.
  • Strong written and oral communication skills.
  • Organizational and time management skills with strong orientation to detail and ability to follow-through on tasks
  • Demonstrated ability to:

  • learn software tools/applications: for example, asset tracking and ticketing systems.

  • Ability to leverage Excel and other business tools to extract and analyze large datasets, identify trends and opportunities, and produce professional client‑ready reports, dashboards, and recommendations.
  • Ability to use multi-line phone system, personal computer, copier, etc.
  • Ability to maintain confidentiality with regards to the information being processed, stored, or accessed.
  • Ability to drive in your own vehicle (or in the company van) to client locations primarily in NE Ohio, with occasional same-day travel to Columbus, Cincinnati, etc. and surrounding states.
Working Conditions + Physical Requirements

This position operates in both office and field environments and requires daily travel as an essential function of the role. Reliable transportation, a valid driver’s license, and current vehicle insurance are required. The role involves occasional local travel and occasional travel throughout Ohio or to out-of-state locations based on business needs. The position requires the ability to lift and carry equipment weighing up to 50 pounds.
