Job Title: Office Assistant

Location: Onsite (No remote or hybrid options)

Schedule: Monday to Friday

Job Type: Full-Time, Contract-to-hire

Position Overview:

The Office Assistant will provide critical administrative support to the leadership of a Regional Office, ensuring smooth daily operations and effective communication across departments. This role requires a highly organized, detail-oriented individual with excellent communication and multitasking skills. The position is onsite only and not eligible for remote or hybrid work schedules.

Key Responsibilities:

  • Provide executive-level support to the Office Manager and senior leadership.
  • Coordinate internal communications and facilitate information sharing between departments.
  • Monitor project deadlines and benchmarks; track and report progress on action items.
  • Organize and manage logistics for on-site and off-site meetings, orientations, and training events.
  • Analyze data and assist in compiling business plans and financial reports.
  • Monitor office expenses and ensure alignment with budget guidelines.
  • Prepare and distribute correspondence, meeting agendas, and minutes.
  • Supervise and support administrative staff.
  • Manage office inventory, equipment maintenance, furniture, and supplies.
  • Administer access and security protocols (badging, keys).
  • Support HR processes for onboarding and offboarding employees.
  • Process accounts payable invoices related to office operations.
  • Maintain and manage telephone and mobile communication systems.
  • Oversee vehicle fleet assignments, rental coordination, and related documentation.
  • Manage petty cash and office banking responsibilities.
  • Coordinate building maintenance requests and vendor communications.
  • Perform other duties as assigned and ensure compliance with company policies and standards.

Required Qualifications:

  • High School Diploma or GED
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Typing speed of 65+ words per minute
  • Excellent verbal and written communication skills
  • Strong time management, multitasking, and organizational skills
  • High attention to detail and accuracy
  • Ability to work independently and in a team environment
