Job Summary

The Psychiatry Operations Manager coordinates the operations, strategic planning, and related activities within the psychiatry service line, including multiple outpatient clinics, telehealth, and contracted behavioral health and psychiatry services.

Supervisory Responsibilities

  • Participates in interviewing, selecting, hiring, and onboarding staff.
  • Oversees the day-to-day operations and work assignments of medical assistants and support.
  • Provides training, advice, and direction for Psychiatric MA staff.
  • Delivers regular performance feedback and constructive performance evaluations; follows established disciplinary and termination procedures as needed.
  • Ensures staff adhere to and follow all organizational policies, safety standards, and healthcare regulations.
  • Collaborates with employees to determine development goals and training needs.

Duties/Responsibilities

  • Works closely with the Behavioral Health Director as well as the Director of Operations to streamline support.
  • Collaborates with the Practice Managers to ensure productivity metrics are being.
  • Responsible for strong financial performance through ensuring proper controls and practices are followed and documented to secure the financial viability of the service line.
  • Provides exceptional leadership and promotes teamwork and collaboration. Creates an environment that supports high provider and staff engagement.
  • Coordinates onboarding with psychiatry providers and other psychiatry staff.
  • Ensures collaboration with BH Management team, PEC Behavioral Health admissions team, Provider leadership, practice leadership, and others for daily operations and process improvement initiatives.
  • Works with compliance officer and quality team to ensure compliance for various accrediting bodies and government agencies and coordinates necessary education and training to maintain compliant status.
  • Resolves problems with practice manager team relating to the physical clinic on a day-to-day basis to ensure the environment our employee’s engagement and meets our patients’ expectations.
  • Monitors the operations and workflow and revises operational procedures as necessary, in alignment with multiple site practices, to ensure efficiency and drive extraordinary results.
  • Identifies and implements areas for improvement and efficiencies including identified quality indicators.
  • Develops and maintains a culture of safety to prevent or reduce errors and improve quality for patients, providers, and staff.
  • Provides the highest level of patient experience by ensuring data is monitored on a regular basis and staff are constantly exhibiting behaviors and services that our patients expect and deserve. Proactively leads service recovery activities for psychiatry team.
  • Performs other related duties as assigned.

Required Skills/Knowledge/Abilities:

  • Strong management and customer service skills.
  • Demonstrated understanding of the psychiatric environment.
  • Knowledge of psychiatric terminology.
  • Flexible and adaptable in various situations and when interacting with many different personalities.
  • Communicates effectively and has strong verbal and written communication skills.
  • Detail-oriented and professional.
  • Proficient with Microsoft Office Suite and able to learn new programs.
  • Ability to organize and prioritize tasks including delegation of tasks when appropriate.
  • Ability to define priorities and to assign resources in pursuit of short- and long-term goals.

Education And Experience

  • Certified or Registered Medical Assistant OR completion of a Medical Assistant program that meets the BOMEX training guidelines OR completion of a United States Armed Forces medical services training program OR meet necessary guidelines as described in Arizona Board of Medical Examiners Administrative Code, Title 4, Chapter 16, Article 4, Section R4-16-401, paragraphs A and B prior to start date.
  • Bachelor's degree in Psychology, Social Work, Management, Public Administration, or related field preferred.
  • Basic Life Support (BLS) certification required.
  • 1+ years of integrated medical and/or behavioral health practice experience required.
  • 1+ year of supervisory experience required, 2+ years preferred.
  • 2+ years of clinical or residential experience preferred.
  • 1+ years of experience with Electronic Medical Records (EMR/EHR) preferred.

Other Requirements

  • New Hires are required to pass pre-employment background check and drug testing (effective 11/1/2022).
  • Current Level 1 Fingerprint Clearance Card or must pass fingerprint clearance within 7 days following hire
