Responsibilities

  • Coordinate daily tasks, schedules, and workflow with clinical and administrative staff to ensure smooth patient flow.
  • Assist the Director of Provider Practices in developing short- and long-term work plans and objectives for the practice.
  • Monitor appointment availability, provider schedules, patient wait times, cancellations, and access; optimize templates.
  • Identify operational inefficiencies and implement sustainable process improvements; ensure standards across locations.
  • Coordinate with hospital, surgical, imaging, therapy, and external partners as appropriate.
  • Oversee office supplies, inventory, and maintenance of equipment; manage access controls.
  • Recruit, train, develop, and retain high-performing staff; manage schedules and performance.
  • Generate volume and performance metrics; support care coordination and reporting.

optimize provider templates based on patient demand, staffing, and clinical needs.Identify operational inefficiencies and implement sustainable process improvements; ensure consistent operational standards across providers and locations.Coordinate with hospital, surgical, imaging, therapy, and other external partners, as appropriate.Ensure office systems for patient follow-up (ED, referrals, ancillary test results, and clinical recall) are implemented and effective.Manage work queues and ensure timely completion of coding and visit worklist tasks.Oversee, maintain, and approve office supplies and inventory; coordinate maintenance and repair of equipment.Ensure offices are opened and closed according to procedure.Step in to cover registration and prior authorization functions when necessary.Provider RelationsEstablish and maintain strong, collaborative relationships with physicians and advanced practice providers; understand provider-specific workflows, priorities, and operational needs.Collaborate with providers to identify operational barriers and opportunities for improvement, providing data and operational insight to support informed decision-making.Support recruitment, onboarding, retention, and integration of new providers.Prepare the provider call schedule.Assist with care coordination activities among physicians, hospital departments, facilities, and related communications.Staff Management & DevelopmentRecruit, train, develop, and retain high-performing employees; provide orientation and training for office staff and providers.Develop and manage staff work schedules, assignments, and office workflow; oversee staffing levels and performance.Monitor staff performance, provide ongoing feedback, and conduct annual employee evaluations.Establish clear expectations and promote accountability; address employee concerns and performance issues promptly and professionally.Promote a culture of teamwork, professionalism, respect, and patient-centered service.Identify opportunities to develop staff and future practice leaders.Financial & AdministrativePrepare the annual budget, oversee expenditures, and work with Finance to reconcile daily transactions and manage other financial activities.Ensure daily charges are reconciled against the patient schedule for services rendered.Ensure self-pay and cash collection policies are followed, including identifying self-pay patients in advance of surgeries and coordinating with financial services.Assist staff and patients with insurance coverage education and concerns.Generate volume and statistical reports;
