Responsibilities
- Responsible for the entire proposal process from research, writing, design, and editing through final submission, ensuring the delivery of a quality product.
- Coordinate and support the full life cycle of proposal development, including:
- Support development of proposal strategies and themes, oversee the Proposal Management Plan.
- Create proposal plans and schedules, conduct kick-off meetings, lead review processes, and coordinate print and delivery.
- Determine assignments and enforce deadlines.
- Create proposal cheat sheets, compliance matrices, and oversee all proposal coordination aspects.
- Develop content, themes, design, and graphics supporting the proposal theme.
- Write, edit, and rewrite drafts; coordinate reviews.
- Lead proposal production and submission, both paper and electronic.
- Develop targeted questions and methods to involve internal stakeholders for critical proposal information.
- Maintain proposal tools, processes, and templates for content, graphics, presentations, and marketing materials.
- Maintain proposal files and libraries, ensuring accuracy and reusability.
- Coordinate proposal interviews, including scheduling, logistics, and preparing presentation materials.
- Lead practice sessions and attend/lead interview presentations.
- Support the award submission process for project and corporate recognition.
- Assist with client and market research projects.
- Perform other duties as assigned to support the Marketing and Project Development team.
Qualifications and Experience
- Excellent organizational and writing skills.
- Ability to persuasively write and meet contract requirements.
- Ability to translate complex concepts into accessible narratives.
- Experience in proposal preparation, including design, content, and coordination.
- Technical writing experience related to proposals.
- Proven editing skills.
- Proficiency in desktop publishing software such as InDesign, Illustrator, Photoshop, and Adobe Acrobat.
- Attention to detail and strong coordination skills.
- Highly accountable and reliable.
- Education and/or experience in related fields (English, Journalism, Marketing, etc.).
- Experience in proposal writing within the A/E/C Industry.
- Knowledge of industry standards, terms, and processes.
- Strong marketing principles understanding and experience designing marketing materials.
- Advanced skills in Microsoft Office Suite and desktop publishing.
- Experience preparing presentations for project pursuits.
After training and team cohesion, this position can be performed remotely, depending on project needs. Candidates should reside in the Hampton Roads area.
