About this role:
Proposal Managers are responsible for the effective planning, organization, and management of the proposal and the successful operation of the proposal team, document review process, resolution and/or escalation of development issues, and final document generation.
During a bid or deal response, proposal managers coordinate with the following team members of pursuit:
- Bid manager
- Account executive or sales lead for the pursuit
- Solution consultants (multi-service line architect [MSLA], service line architects [SLAs])
- Legal and contract representatives who help on deals (SOWs, MSAs, ITTPs, etc.)
- Account team as applicable for pursuit (existing customers)
Proposal Management Effort (40%):
Dedicate approx. 30% of the time per week to manage the bid process, coordinating proposal development, and collaborating with stakeholders.
What you’ll Do:
- Identify potential business opportunities and assess their alignment with organizational capabilities.
- Develop bid strategies, considering project scope, technical requirements, and competition.
- Coordinate cross-functional teams to gather necessary information and develop compelling bid responses.
- Review and edit bid proposals to ensure clarity, coherence, and alignment with client requirements.
- Conduct risk assessments and ensure compliance with legal and regulatory guidelines.
- Participate in client presentations, and negotiations, and address clarifications or additional information requests.
- Work with bid managers for all client-facing deliverables, with a special focus on responses to RFPs, RFIs, RFQs, and proactive proposals.
- Offer experienced guidance on how best to compose and present proposals for optimal effectiveness, including setting up shell files for all deliverables to respond to client requirements and tracking for compliance.
- Multitask with several bid proposal projects simultaneously while creating high-end results.
- Provide input to proposal strategy through pre-RFP planning activities that help the pursuit team plan and shape client deliverables.
- Collaborate with the sales and bid management team to ensure appropriate messaging and strategy are reflected in the proposal, keeping the focus on the client and their goals.
- Oversee proposal life cycle to meet all milestones on time and with quality; create deliverable outlines, track the status of each client deliverable, and escalate issues in a timely manner.
- Work with the bid manager to develop a proposal calendar that incorporates client deadlines and accounts for all critical milestones.
- Track client changes to the RFP throughout the pursuit process and communicates the information to the pursuit team.
Proposal Management Candidate Evidence:
- Project Examples: Candidates should provide examples of pitch projects they have managed, including details of the scope, complexity, and outcomes.
- Proposal Writing and Editing: Candidates can showcase their expertise in proposal writing and editing by sharing samples of their written content, demonstrating clarity, coherence, and alignment with client requirements. They can also highlight their ability to effectively edit and improve proposals to enhance their overall quality.
- Collaborative Approach: Candidates should emphasize their experience in collaborating with cross-functional teams and stakeholders to develop pitch responses. They can discuss their communication skills, ability to manage competing priorities, and their aptitude for fostering productive working relationships.
Proposal Graphic Design Effort (50%):
Dedicate approx. 50% of the time per week to graphic design tasks specifically related to bid proposal documents.
This involves designing visually appealing and persuasive layouts for bid proposals, incorporating appropriate typography, color schemes, and imagery.
Work closely with the bid management team to ensure the proposals are visually engaging and effectively communicate the value proposition.
What You’ll Do:
- Design layouts for bid proposal documents to enhance visual appeal and readability.
- Select typography, color schemes, and imagery that align with the bid's messaging and branding according to DXC Standards.
- Create a visual hierarchy and structure the content for easy navigation and comprehension.
- Collaborate with the bid management team to understand the proposal requirements and objectives.
- Incorporate infographics, charts, and diagrams according to DXC Standards to present data and complex information effectively.
- Ensure consistency with the DXC branding and design guidelines.
- Manage multiple bid design projects simultaneously, adhering to deadlines and quality standards.
Proposal Graphic Design Candidate Evidence:
- Portfolio: Candidates should showcase a portfolio highlighting their previous work that can include Magazine Layouts, Book Design, Annual Reports, Marketing Collaterals, Digital Content, Illustration, Icon Design, and/or Redesign Projects.
- Design Process: Candidates can provide insights into their design process, demonstrating how they approach creating visually appealing and persuasive bid proposal designs. This can include outlining their understanding of target audiences, their use of visual hierarchy, and their ability to effectively communicate key messages.
- Results and Impact: Candidates can discuss the impact of their designs. They can provide examples of how their designs have enhanced the overall quality of the final product and contributed to positive client feedback.
Training and Mentoring (10%):
Dedicate approx 10% of the time per week to train and mentor peers, reports, and leaders in the basics of graphic design for bid proposal documents.
What You’ll Do:
- Develop training materials and resources specific to graphic design in bid proposals.
- Deliver training sessions on visual communication, design principles, and effective use of graphics in bid documents.
- Provide guidance and support to colleagues in creating visually impactful bid proposal designs.
- Conduct one-on-one or group coaching sessions to address specific design-related needs.
- Share industry insights and best practices to improve the overall quality of bid proposal designs.
- Collaborate with the team to enhance design capabilities and promote a consistent visual identity in bid proposals.
Training and Mentoring Candidate Evidence:
- Training Materials: Candidates can provide samples of training materials they have developed. These could include presentation slides, handouts, or online resources that demonstrate their ability to simplify complex concepts and effectively convey design principles.
- Teaching Experience: Candidates should highlight their experience in training and mentoring colleagues, sharing specific examples of their teaching methodologies, coaching sessions, or workshops conducted.
- Lead the Writer’s Workshop at kickoff meetings and ensure the pursuit team understands the proposal process, deliverables, and due dates.
As defined earlier, a proposal may be defined as a response to a request for information (RFI), a request for proposal (RFP), an unsolicited or “proactive” proposal, or a sole source response to a client. It may take the form of printed and bound documents (typically only government responses), electronic documents, presentations, or other client deliverables.
Many aspects of this process also apply to the management of contract documents or other deliverables.
