Job summary

LJA is seeking a Proposal Coordinator I to join the Marketing department in Nashville. You will support development, production, and submission of proposals and qualifications packages while learning AEC procurement processes.

You’ll work with cross-functional pursuit teams, organize materials, ensure quality, and participate in interviews and marketing collateral development. Ideal for developing core proposal-management skills in a deadline-driven environment.

Qualifications

• Strong writing and editing skills with attention to detail.
• Ability to manage multiple deadlines and priorities.
• Basic to intermediate Adobe InDesign skills.
• Working knowledge of Microsoft Office applications.

Responsibilities

• Coordinate proposals under the guidance of senior marketing staff.
• Assist with proposal scheduling, production, and submission activities.
• Format and assemble proposal documents using Adobe InDesign.

POSITION OVERVIEW:

As a Proposal Coordinator I at LJA in our Marketing department, you will be responsible for supporting the development, production, and submission of proposals, qualifications packages and assisting with interview presentations. This role focuses on developing core proposal management skills, learning AEC procurement processes, and supporting pursuit teams in a deadline-driven environment. Working under regular guidance and direction while developing proposal management skills.

A TYPICAL DAY MIGHT INCLUDE:

• Coordinating proposals under the guidance of senior marketing staff
• Assisting with proposal scheduling, production, and submission activities
• Formatting and assembling proposal documents using Adobe InDesign
• Coordinating collection of resumes, project descriptions, and supporting materials
• Assisting with maintenance of proposal files, templates, content libraries, CRM and marketing databases
• Supporting subconsultant coordination and information collection
• Preparing compliance matrices and assisting with requirement reviews
• Performing quality control reviews for formatting, grammar, and consistency
• Supporting interview presentations and marketing collateral development
• Leading kickoff meetings for routine pursuits
• Maintaining and updating proposal content libraries, CRM records, resumes, project descriptions, and marketing assets

REQUIRED EDUCATION/LICENSE/CERTIFICATIONS:

• Bachelor’s degree in Marketing, Communications, English, Journalism, or related field

REQUIRED QUALIFICATIONS:

• 3+ years of professional experience
• Strong writing, editing, and organizational skills
• Basic to intermediate Adobe InDesign skills
• Working knowledge of Microsoft Office
• Ability to manage multiple deadlines and priorities
• Strong attention to detail and commitment to producing accurate, high-quality deliverables

IDEALLY, YOU SHOULD ALSO HAVE:

• Prior experience with Tennessee Department of Transportation submittals
