Job summary

Fairstead is a purpose-driven real estate firm seeking a receptionist to be the first point of contact for the property and provide on-site administrative support. You will manage visitor flow, answer calls, and assist with work requests to keep operations smooth and residents well-served.

The role requires strong communication, organization, and customer service skills, with experience in Microsoft Office and a fast-paced environment.

Qualifications

  • High school graduation or equivalent required.
  • 1 year of office assistant or customer service experience preferred.
  • Strong written and verbal communication and interpersonal skills.
  • Ability to multi-task and stay organized in a fast-paced environment.
  • Customer service excellence and attention to detail.

Responsibilities

  • Maintain records, documentation, and files, including sensitive files.
  • Type letters and memos and track visits and calls.
  • Oversee telephone services, email and mail distribution.
  • Answer phones politely following policy and procedures.
  • Assist with work requests and maintain policy-based records.
  • Maintain courteous communication with residents and vendors.
  • Direct office activities to ensure efficiency and policy compliance.
  • Support staff with assigned duties, including complex tasks when needed.
  • Manage office supplies inventory.
  • Perform other related duties as required.

Fairstead looking for a receptionist to perform a variety of administrative and clerical tasks. As a receptionist you will be the first point of contact for the property, and you will provide administrative support for the on‑site team. You will handle the flow of people through the property and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

RESPONSIBILITIES:
  • Maintains records, documentation, and files, particularly more complex or sensitive files.
  • Type letters and memos.
  • Track visits and calls.
  • Oversees telephone services, email correspondence, and mail distribution.
  • Answer phones pleasantly, adhering to the phone techniques as stipulated in the policy and procedures manual.
  • Assist in taking work requests and expediting their completion; maintaining records as stated in the policy and procedures manual.
  • Maintain courteous communications with residents, applicants, and representatives of other companies.
  • Directs office activities and functions to maintain efficiency and compliance with company policies.
  • Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
  • Maintains office supplies inventory.
  • Performs other related duties as required.
