Property Manager Assistant

Job Summary:
We are seeking a detail-oriented and organized Property Management Accounting Department Assistant to provide crucial administrative support to our property management accounting department team. In this role, you will be responsible for a variety of tasks that ensure the smooth and efficient operation of our properties and tenant relations. Your ability to manage information accurately, communicate effectively, and handle financial transactions with care will be essential to your success.
Responsibilities:- Lease Administration:Process new leases, including data entry, document preparation, and ensuring all necessary paperwork is completed accurately.
- Document Management:Maintain organized digital and physical filing systems, including scanning and filing important documents.
- Tenant Billing:Utilizing Sage CRE300 software, enter tenant data to prepare tenant invoices for rent and other charges. Distribute as required.
- Tenant Insurance Management:Track and manage tenant insurance certificates to ensure compliance.
- Communication:Relieve front desk receptionist as needed, answering and directing phone calls professionally and courteously, providing information and taking messages as needed.
- Banking Transactions/Mail Pickup and Drop Off:Assist with making bank deposits and other basic financial transactions as well as picking up morning mail and dropping off end of day mail at Chatham Post Office.
- Lease Review/Tenant Database Management:Review and interpret lease agreements to extract relevant information and ensure compliance, utilizing Microsoft Access Database to maintain tenant lease records.
- Provide general administrative and clerical support to the property management team as needed.
Qualifications:- Proven ability to be detail-oriented and maintain a high level of accuracy in all tasks.
- Demonstrated ability to read and understand the terms and conditions of lease agreements.
- Required:Experience using Microsoft Access Database for data management.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in basic computer applications (e.g., email, word processing).
Compensation / Pay Rate (Up to): $23.00 - $25.00 Per Hour
