Job summary

Qualifications

  • Experience managing operating budgets, capital projects, and financial reporting.
  • Knowledge of commercial building systems and facility operations.
  • Strong analytical, organizational, and problem‑solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities independently in a fast‑paced environment.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Experience with Yardi or similar commercial property management software is preferred.

Responsibilities

  • Oversee the daily operations and maintenance of an assigned commercial property portfolio.
  • Ensure properties are maintained in excellent operational condition while meeting tenant expectations.
  • Manage third‑party vendors, site management teams, janitorial, landscaping, and other service providers.
  • Coordinate capital improvement projects, ensuring completion on schedule and within budget.
  • Identify opportunities to reduce operating expenses and improve building efficiency.
  • Develop and implement short- and long‑term asset management strategies that enhance property value.
  • Ensure compliance with lender, investor, lease, regulatory, and contractual requirements.
  • Participate in property acquisitions, dispositions, and due diligence activities as needed.
  • Serve as the primary point of contact for tenants throughout the lease lifecycle.
  • Build and maintain strong relationships with tenants and internal stakeholders.
  • Conduct tenant onboarding and lease orientation.
  • Enforce lease provisions and coordinate responses to tenant requests and concerns.
  • Manage tenant communication platforms and satisfaction initiatives.
  • Support tenant retention through proactive customer service and issue resolution.
  • Review and approve vendor invoices.
  • Monitor accounts receivable and accounts payable for assigned properties.
  • Ensure utility expenses are properly allocated and billed back to tenants where applicable.
  • Assist with operating budgets, capital budgets, financial reporting, and variance analysis.
  • Monitor repair, maintenance, and capital expenditures while providing updated financial forecasts.
  • Support annual operating expense reconciliations.
  • Partner with leasing teams during lease negotiations by providing operational and financial input.
  • Assist with property tours and presentations for prospective tenants.
  • Ensure vacant spaces remain clean, maintained, and ready for leasing opportunities.
  • Stay informed on local market conditions and participate in industry networking events when appropriate.
  • Maintain current tenant and emergency contact information.
  • Implement and maintain emergency response procedures.
  • Ensure environmental permits, inspections, and safety requirements remain current.
  • Identify operational risks and coordinate corrective actions.
  • Ensure vendor insurance compliance and risk management standards are met.
  • Maintain accurate property documentation and records.
  • Coordinate competitive bidding for service contracts.
  • Perform routine property inspections and document findings.
  • Manage tenant move-in and move-out processes.
  • Track and follow up on maintenance work orders.
  • Support utility benchmarking and sustainability reporting.
  • Complete additional projects and assignments as needed.

Key Responsibilities
Property Operations
  • Oversee the daily operations and maintenance of an assigned commercial property portfolio.
