Job summary

CHIP is seeking a Property Management Assistant to support the management of Murphy Common Apartments, ensuring fiscal and physical integrity and a safe, healthy community for tenants.

The role requires organizing tenant files, processing applications, scheduling inspections, and ensuring compliance with subsidy and housing regulations. You will work with Resident Manager to maintain grounds and resident services, in a inclusive team environment.

Qualifications

  • Must be well organized, self-motivated, and able to work with minimal supervision.
  • Proficient in spoken and written English/Spanish.
  • Able to operate Windows-based programs including Microsoft Office & Outlook; capable of using property management software after training.
  • Familiar with program regulations (Tax Credit, MHP, Section 8) and deadlines.
  • Able to think creatively, solve problems, and resolve conflicts.
  • Courteous, tactful, and diplomatic with coworkers, tenants, and vendors.

Responsibilities

  • Assist with maintaining tenant files and related documents in organized order.
  • Uphold subsidy program regulations and adhere to deadlines.
  • Adhere to Fair Housing regulations and procedures.
  • Receive and process applications.
  • Maintain applicant waiting lists.
  • Schedule certifications, recertifications, and inspections.
  • Complete certification procedures for residents.
  • Conduct occupancy orientation for new residents about House Rules.
  • Assist with move-in inspections and subsequent inspections.
  • Organize and file paperwork; scan invoices to accounting.
  • Enter and close work orders in the computer system.
  • Assist with notices to pay rent or quit and notices to vacate; inform residents of rights and responsibilities.
  • Perform other duties as assigned by Resident or Regional Manager.
  • Assist Resident Manager with maintenance requests and problem situations.
  • Monitor grounds, common areas, and laundry daily; assist with cleaning and trash removal.
  • Assist with resident services.

PURPOSE

· To assist with the management of Murphy Common Apartments, helping to ensure the fiscal and physical integrity of the property and foster a safe and healthy community for tenants.

· To consistently adhere to all regulations and maintain compliance for the property.

Desired skills and abilities:
  • The Property Management Assistant must be well organized, self-motivated, and able to work with minimal supervision to prioritize, juggle, and complete tasks promptly.

  • Must be proficient in speaking and writing in English/Spanish.

  • Able to operate Windows-based computer programs, including Microsoft Office & Outlook. Capable of utilizing property management software (after being trained).

  • Become knowledgeable in program regulations (Tax Credit, MHP, Section 8), adhering to statutory regulations and deadlines.

  • Able to do creative thinking, problem-solving, and conflict resolution as an individual or as part of a team.

  • Courteous, tactful, diplomatic, and appropriate in interactions with coworkers, tenants, and vendors.

Essential Responsibilities:
  • Assist with maintaining all tenant files and related documents in well-organized, approved order.

  • Uphold subsidy program regulations, while adhering to statutory regulations and deadlines.

  • Strictly adhere to Fair Housing regulations and procedures.

  • Receive and process applications.

  • Maintain and regularly update applicant waiting lists.

  • Schedule appointments for certifications, re-certifications, and inspections.

  • Complete certification, re-certification, and inspection procedures on all residents.

  • Perform initial and ongoing occupancy orientation with all new residents, especially regarding House Rules.

  • Perform and or assist with the move-in and subsequent inspections in a timely manner.

  • Organize and file paperwork. Scan invoices to accounting.

  • Enter and close work orders into the computer system.

  • Assist with serving 3-day notices to pay rent or quit and 30-day/ 60-day notices to vacate. Receive notices from and inform departing residents of their rights and responsibilities upon termination of tenancy.

  • Any other duties that are assigned by the Resident Manager or Regional Manager.

Essential Duties:
  • Assist the Resident Manager with receiving, documenting, and appropriately responding to all requests for maintenance, complaints, and problem situations.

  • Assist the Resident Manager to ensure that the grounds, common areas, and laundry room are monitored daily for litter. Assist with cleaning the Community room, and laundry room and emptying of all trash containers.

  • Assist with the provision of resident services for the tenants.
