The Property Coordinator is the first point of contact for tenants and the administrative backbone of the property management team. The role supports the Property Managers across a portfolio of office, medical, and industrial properties in the Phoenix metro area.
JOB DESCRIPTION
- Serve as the main contact for tenant calls, emails, and service requests; log work orders and follow them through to completion.
- Coordinate tenant move-ins and move-outs, keys, and access cards, and building and suite signage.
- Prepare and distribute tenant notices, newsletters, and building communications, plan tenant appreciation events.
Administration and lease files
- Provide front-desk and office support: phones, mail, filing, scheduling, and ordering office and building supplies.
- Maintain lease, tenant, vendor, and building files; track critical lease dates.
- Collect and track certificates of insurance (COIs) and W-9s for tenants and vendors.
- Code and enter vendor invoices into the accounting system; resolve vendor payment questions.
- Support accounts receivable: tenant billings, rent collection follow-up, and delinquency tracking.
- Help prepare monthly reports, budgets, and CAM reconciliation backup.
Vendor and maintenance coordination
- Schedule and follow up with contractors and service vendors; help obtain bids.
- Join property inspections and help document incidents and potential liability issues.
- Assist the Property Manager with special projects and other duties as assigned.
SKILLS & EXPERIENCE REQUIRED:
- High school diploma required; associate or bachelor’s degree preferred.
- 1-2 years of administrative, customer service, or accounting experience; commercial property management experience strongly preferred.
- Proficiency in Microsoft Office (Outlook, Word, Excel); experience with Yardi, MRI, or similar property management and accounting software preferred.
- Basic understanding of accounting and commercial lease terms.
- Strong customer service, organization, and written and verbal communication skills; able to multitask and work independently.
