The Role
Our client is a well-established and forward-thinking real estate agency based in the UK, offering a full range of property services across sales, lettings, and property management. They pride themselves on delivering exceptional service to both landlords and tenants. They are seeking a reliable and detail-oriented Property Administrator to support their growing team.
Key Responsibilities
- Administrative Support
- Prepare and manage tenancy agreements and renewals.
- Maintain records and databases, respond to telephone and email enquiries.
- Schedule property viewings and inspections, and produce relevant correspondence and reports.
- Book and manage appointments while delivering outstanding customer service.
- Tenant and Landlord Liaison
- Serve as the main point of contact for tenants and landlords.
- Support tenants through the application and move-in process.
- Keep landlords regularly informed of property updates and any arising issues.
- Book inventories, manage check-outs, conduct property inspections, and ensure valid safety certification.
- Process deposit returns and chase any outstanding rent.
- Progress New Lets and Renewals
- Collaborate with the team to prioritise and progress new lets and tenancy renewals.
- Ensure all required documentation is completed, signed, and filed appropriately.
- Oversee the progression of property sales to completion.
- Maintain consistent communication with buyers, sellers, and solicitors.
- Use platforms such as Street and Monday.com to track and manage the sales process.
- Onboarding of New Properties
- Draft and manage contracts for new listings, ensuring full compliance and accuracy.
- Liaise with landlords and tenants to collect all necessary onboarding information.
- Property Marketing
- Assist in the creation and management of property listings.
- Coordinate and track property viewings, and ensure all marketing materials are current and accurate.
- Compliance and Documentation
- Ensure all properties are compliant with current legislation, including conducting right-to-rent checks and reference verifications.
- Maintain valid safety certificates for all properties prior to tenant move-ins.
- Prepare “move-in” packs and provide appropriate notifications to tenants regarding inspections or maintenance.
- Coordination and Communication
- Ensure smooth communication between remote team members and the front-end office.
- Resolve issues to enable the front-end team to focus on client development and business growth.
- Remote Team Support
- Assist remote colleagues during busy periods to maintain workflow and operational efficiency.
- General Duties
- Support ad-hoc office tasks as needed.
- Participate in community initiatives and local projects as part of company involvement.
What We’re Looking For
- Previous experience in property administration, lettings, or a similar role (preferred).
- Strong organisational and multitasking skills.
- Familiarity with property management platforms such as Street and Monday.com (desirable).
- Proficient in Microsoft Office and other administrative tools.
- Knowledge of lettings and sales compliance requirements, including AML and right-to-rent legislation.
- A proactive, can-do attitude with strong attention to detail.
- Ability to work both independently and collaboratively in a fast-paced environment.
Hardware Requirements:
- Own a computer with Windows Pro 11 and at least an i5 processor. Needs at least 8GB RAM and a computer no older than 3 years old.
- Install and maintain antivirus software.
- Have a UPS/Backup Battery/alternative Power Source to manage power outages.
- Fibre internet connection or at least 20mb download and 10mb upload speed.
