Overview: The Property Administrative Assistant works alongside the Property Manager to support the daily operations of commercial properties and retail centers throughout the Raleigh market. This position serves as a key point of contact for tenants and vendors while providing administrative support for property operations, tenant relations, work order management, and project coordination. The ideal candidate is organized, detail-oriented, customer-focused, and able to manage multiple priorities in a fast-paced environment.
This is a FULL-TIME, hourly position that is required to work out of our property management office.
Specific Duties and Responsibilities:
- Communicate professionally and effectively with tenants, vendors, and internal team members.
- Respond to tenant requests promptly and ensure timely follow-up and resolution.
- Create, monitor, and update work orders through the property management system.
- Assist with tenant service requests and maintain accurate documentation of communications and completed work.
- Prepare and distribute monthly tenant invoices, account statements, notices, and other property-related correspondence.
- Maintain tenant files, lease documentation, certificates of insurance, service contracts, and other property records.
- Coordinate vendor scheduling for maintenance requests, tenant improvements, and small projects.
- Assist with tenant upfit projects by obtaining proposals, scheduling vendors, and tracking project progress.
- Work closely with the Property Manager to support tenant move-ins, move-outs, and lease administration activities.
- Maintain organized electronic and physical filing systems.
- Assist with maintaining office supplies, equipment, and general office organization.
- Become proficient in AppFolio, Google Workspace, and other company systems.
- Support special projects and perform additional duties as assigned.
Education and Experience:
- Associate degree in Business Administration, Real Estate, Accounting, or related field preferred.
- Minimum of 2 years of administrative, customer service, office management, or property management experience preferred.
- Prior commercial real estate or property management experience strongly preferred.
- Experience with AppFolio or similar property management software preferred.
- Strong working knowledge of Google Workspace applications.
- Excellent written and verbal communication skills.
- Strong organizational, time management, and follow-through skills.
- Ability to manage multiple tasks and priorities while maintaining attention to detail.
