Child Care Aware of Richmond is seeking a Project Support Coordinator to assist Homeward and the Greater Richmond Continuum of Care. The role blends project management, meeting management, and event support, with hybrid work (office three days, remote two days).

The position involves taking minutes, coordinating agendas, supporting annual reports, and helping with community events while providing back-up for referrals and ensuring timely, organized operations.

Qualifications

  • Experience in project management, event planning, and administrative support.
  • Excellent oral and written communication skills.

Responsibilities

  • Project management for planning and coalition-building (20%).
  • Provide operational support to GRCoC board and committees; manage minutes and tasks.
  • Meeting management and event support (40%): organize meetings and community events; coordinate logistics.
  • Administrative support (30%): assist CEO and board communications; manage meetings and materials.

TheProjectSupportCoordinator supportsHomeward andthe Greater Richmond Continuum of Care,a collective impact model working in the Greater Richmond region to ensure that everyone has a safe place to call home. This position providesprojectmanagement,meetingmanagementand eventsupport, vendorand partner coordination,andadministrative support needed to ensureimplementation of keyinitiativesand strengthen operational support. This is a hybrid position where it isexpectedto work from the office three days per week and two days remote.

Key Responsibilities:
  • Project Management forPlanning and Coalition-Building– 20%
  • Provides operationalsupporttoGRCoCboard and committee meeting that includes sharingcalendar invites andagendas, recording minutes,tracking tasks,maintainingboard matrix and contacts
  • Posting minutes and policies onGRCoCwebsite, as appropriate
  • Manages minutes andtranscriptionsfrom virtual meetingsand shares summaries from meetings
  • Maintainaccuraterecords and minutes infile management systemfor organizational reporting and recordkeeping
  • Provides support to Homeward andGRCoCinitiativessuch as the Annual Report
  • Offering capacity support to staff including serving as back-up for referrals
  • Meeting Management andEvent Support– 40%
  • Organize andfacilitateGRCoCmember meetings
  • Provides capacity supportfor communityengagement events, such as thePoint-In-Time Count,Community Connections,Best Practices Conference, Annual Summitand related service fairs, resource drives, and outreach events.
  • Provides logistical support for Homeward andGRCoCtrainingsthat includes printing materialsand staffing sign in tables orotheractivities as needed
  • Help develop and distribute event materials, including flyers, programs, signage, and participant registration forms.
  • Provide hands-on support at events, including set-up, registration, managing event stations, overseeing volunteers, and ensuring adherence to timelines.
  • Communicate with vendors, service providers, volunteers, and community partners to ensure active participation and clear expectations for events.
  • Coordinate event scheduling, sitelogistics, transportation, and supplies to ensure smooth execution.
  • Administrative Support– 30%
  • Provide scheduling support to CEOandassistwith Boardcommunications
  • Provide hands-on support at meetings, including set-ups, taking minutes, printing materials, ordering food and refreshments, and ensuring adherence to timelines.
  • Troubleshoot any issues that arise for meetings, ensuring an organized and effective environment for participants.
  • Support file managementof important documentation to enhance organizationandIT needs
  • Other duties as assigned
Required Qualifications:
  • Minimumrequirements include an undergraduate degree with at least two years of workexperience ora combination ofrelevant experience in human services, public administration, community development, or planning.Candidates with livedexpertiseinhomelessness or systems engagement are encouraged to apply.
  • The successful candidatewilldemonstrate:
  • Experience inproject management, event planning, and administrative support.Excellent oral and written communicationskills
  • Proactive, adaptable,androbustattention to detailwithstrongorganizational skills
  • Ability to manage multiple assignments and prioritize work based on urgency andimportance
  • Additionalexperience that is desirable:
  • A basic understanding of nonprofits, local government, and regional homelessness issues is desirable.
  • A basic knowledge of homelessness and knowledge of the regional homeless services system or comparable human services system isdesirable.
