Job Summary:

The Project Specialist, HRIS supports the planning, coordination, and on-time execution of projects across the HRIS team. Reporting to the Sr. HRIS Specialist, this entry-level role keeps HRIS initiatives – system implementations, upgrades, reporting rollouts, and process-improvement efforts – moving forward by building and maintaining project timelines, communicating clearly on status and deadlines, and engaging stakeholders across HR, IT, and vendor teams to gather the information and inputs each project needs. The Project Specialist is the coordination point that ensures tasks are tracked, dependencies are surfaced early, and deliverables are completed on schedule.

This is primarily office-based work directly related to TSMC Arizona’s general business operations – project coordination, timeline management, stakeholder communication, and progress tracking for HRIS initiatives. The project specialist exercises discretion and independent judgment on matters of significance: determining how to sequence project tasks and communicate timelines, deciding when a delay or dependency warrants escalation, identifying which stakeholders must be engaged to unblock a deliverable, and interpreting project status to recommend adjustments that keep initiatives on track.

Essential Functions:
  • Build, maintain, and communicate project timelines and schedules for HRIS initiatives, exercising judgment to sequence tasks, set realistic milestones, and keep all parties aligned on deadlines.
  • Communicate project status, upcoming deadlines, risks, and changes clearly and proactively to project team members, stakeholders, and the Sr. HRIS Specialist.
  • Engage stakeholders across HR, IT, and vendor teams to gather the requirements, data, approvals, and inputs each project needs, following up to ensure information is received on time.
  • Track project tasks, action items, and deliverables from initiation through completion, exercising judgment to identify dependencies and surface delays or blockers before they impact the timeline.
  • Drive assigned project tasks to timely completion, proactively following up with responsible parties and escalating risks or resource constraints to the Sr. HRIS Specialist when needed.
  • Prepare and maintain project documentation – schedules, status updates, meeting notes, action-item logs, and decision records – so the team has a clear, current view of progress.
  • Coordinate and facilitate project meetings, including preparing agendas, capturing decisions and next steps, and confirming ownership and due dates for follow-up items.
  • Support intake and prioritization of HRIS project requests, gathering the details needed to scope work and helping determine sequencing with guidance from the Sr. HRIS Specialist.
  • Support user acceptance testing (UAT) and rollout activities for HRIS projects, coordinating participants, tracking results, and confirming that deliverables are completed before go-live.
  • Monitor project progress against plan, exercising judgment to flag variances and recommend adjustments to keep initiatives on schedule.
  • Maintain accurate, organized project records and ensure adherence to established documentation, change-control, and confidentiality standards.
  • Field day-to-day project questions from stakeholders, resolving routine coordination items directly and escalating those requiring the Sr. HRIS Specialist or vendor involvement.
Minimum Qualifications/Requirements:
Education & Experience:
  • Bachelor’s degree in Business Administration, Human Resources, Information Systems, Project Management, Communications, or a related field; equivalent experience considered.
  • 2+ years of experience in project coordination, program/project support, HR operations, or a related role; relevant internship or academic project experience considered.
  • Demonstrated ability to build and maintain schedules, track tasks, and follow through on action items to completion.
  • Experience coordinating with multiple stakeholders to gather information and keep work moving forward.
  • Experience preparing clear status updates, meeting notes, or project documentation.
Technical Skills:
  • Strong project-coordination skills: timeline management, task tracking, and follow-through across multiple concurrent activities.
  • Excellent written and verbal communication skills, with the ability to communicate timelines, status, and expectations clearly to varied audiences.
  • Strong stakeholder-engagement skills, with the ability to build cooperative working relationships and secure needed inputs on time.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Strong organizational skills and high attention to detail, with a commitment to accuracy and confidentiality.
Physical Requirements:
  • Ability to use a computer, keyboard, mouse, and other standard office equipment for prolonged periods of time.
  • Ability to occasionally stand, walk, reach, bend, and carry light objects.
  • May require occasional travel to company sites or other meetings that involve walking through office, industrial or construction environments.
Preferred Qualifications/Requirements:
  • Experience supporting HRIS, IT, or systems-related projects.
  • Familiarity with project-management tools and methods (e.g., Microsoft Project, Planner, Smartsheet, Asana, or Agile/Waterfall concepts).
  • Exposure to HRIS platforms (e.g., Workday, SuccessFactors, ADP) or reporting tools such as Power BI.
  • Experience supporting user acceptance testing (UAT) or system rollouts.
  • Experience in the semiconductor, advanced manufacturing, or a large-scale, fast-growing organization.
  • Understanding of HR data structures, the employee lifecycle, and related confidentiality requirements.
  • Relevant certifications or coursework (e.g., CAPM, Project Management, or SHRM credentials).
