Job summary

Sleep.ai is seeking a Part-time Project Manager for Research & Validation Studies in Carlsbad, CA. You will manage a portfolio of 10+ concurrent studies from proposal through completion, coordinating with the scientific and business teams.

This role sits at the intersection of science and operations, handling IRB submissions, budgets, SOWs, timelines, and sponsor communications to ensure high-quality research while meeting partner commitments.

Qualifications

• 3+ years of customer-facing project management in research or clinical settings.
• Experience drafting proposals, budgets, and contracts in research or client services.
• Strong organizational skills and ability to manage multiple priorities.
• Ability to coordinate timelines and deliverables across teams.

Responsibilities

• Manage a portfolio of 10+ concurrent studies from proposal through close-out.
• Develop proposals, timelines, budgets, and SOWs with Business Dev and Scientific Research.
• Serve as day-to-day contact for external sponsors, maintaining professional relationships.
• Own IRB submission preparation and coordination to keep studies compliant.
• Create project plans, Gantt charts, timelines, budgets, and trackers.
• Coordinate workflow across the science team and communicate deadlines.
• Track deliverables and elevate risks before timelines are affected.
• Identify process improvements to increase efficiency and throughput.
• Safeguard study integrity by raising concerns when terms conflict with research quality.
• Support study close-out, final reporting, publications, or abstracts as capacity allows.
