Job summary

Sleep.ai is seeking a Project Manager, Research & Validation Studies to oversee 10+ concurrent validation studies from proposal through completion. This hybrid role is based in Carlsbad, CA, with 1–2 days in the office.

You’ll coordinate proposals, budgets, service agreements, and Statements of Work; own IRB submission coordination; and act as the primary contact for external sponsors while keeping studies on schedule and within scope.

Qualifications

• Bachelor's degree required in a related field.
• 3+ years of customer-facing project management experience in a research-oriented environment.
• Experience managing many concurrent projects across cross-functional teams.
• Experience drafting or supporting proposals, budgets, or contracts for a research/client-services setting.
• Strong interpersonal and relationship-management skills for technical and non-technical audiences.
• Excellent organizational skills with ability to manage deadlines and multiple stakeholders.

Responsibilities

• Manage a portfolio of 10+ concurrent research and validation studies from proposal to close-out.
• Coordinate with Business Development and Scientific Research on proposals, timelines, budgets, and SOWs.
• Serve as primary day-to-day contact for external sponsors, managing expectations and partner relationships.
• Lead IRB submission preparation and coordination to keep studies compliant.
• Create and maintain project plans, timelines, budgets, and deliverable trackers.
• Coordinate workflow across the science team and communicate deadlines and dependencies.
• Track contracted deliverables and raise risks before timelines are affected.
• Identify process improvements to increase efficiency and study throughput.
• Safeguard study integrity by addressing terms or timelines conflicting with research practices.
• Support close-out, reporting, publications, or abstracts as capacity allows.
