Job summary

Qualifications

The Project Manager is responsible for leading projects from initial opportunity through completion, ensuring projects are accurately estimated, effectively planned, and successfully delivered. This role serves as the primary coordinator between customers, internal teams, vendors, and stakeholders to develop proposals, manage schedules, oversee project execution, and drive projects to successful completion. The ideal candidate combines strong organizational, communication, estimating, and problem‑solving skills with the ability to manage multiple priorities in a fast‑paced environment.

Key Responsibilities

Estimating & Proposal Development

• Review project requirements, specifications, and customer needs to develop accurate project estimates.
• Prepare scopes of work, budgets, cost analyses, and project timelines.
• Develop and submit professional proposals and quotations for clients.
• Collaborate with sales, engineering, operations, and subcontractors to obtain pricing and technical information.
• Identify project risks, assumptions, and exclusions during the estimating process.

Project Planning & Scheduling

• Develop detailed project schedules, milestones, and resource plans.
• Coordinate project activities to ensure work is completed on time and within budget.
• Monitor project progress and adjust schedules as required.
• Track project deliverables and communicate schedule changes to stakeholders.
• Facilitate project kickoff meetings and ongoing project reviews.

Project Coordination & Execution

• Coordinate resources across multiple departments to support project delivery.
• Ensure project documentation is maintained and updated throughout the project lifecycle.
• Monitor project performance against scope, budget, schedule, and quality objectives.
• Develop and deliver complete machine closeout documentation packages, including operation and maintenance manuals, technical documentation, drawings, and final project records to support customer acceptance.

Financial & Administrative Management

• Track project budgets, costs, and financial performance.
• Develop project-related invoices, change orders, and purchase requests.
• Prepare project status reports and forecasting updates.
• Manage project closeout activities, including final documentation and customer acceptance.

Stakeholder Management

• Build and maintain strong relationships with clients and project stakeholders.
• Communicate project status, risks, and issues proactively.
• Facilitate problem resolution and ensure customer expectations are met.
• Support business development efforts by identifying project opportunities and assisting with proposal presentations.

Qualifications & Experience

• Associate degree or higher in Project Management, Business, Engineering, Manufacturing, or a related field preferred. Equivalent combinations of education and relevant work experience will be considered.
• 2-5 years of project management, project coordination, estimating, manufacturing, or related experience preferred; candidates with strong organizational and leadership skills will also be considered.
• Experience developing project schedules, managing multiple priorities, and coordinating cross-functional teams.
• Advanced proficiency in Microsoft Excel, including data analysis, reporting, formulas, and project tracking.
• Strong communication, organizational, and problem‑solving skills with the ability to effectively interact with customers, vendors, and internal stakeholders.
• Experience with ERP systems preferred but not required.
• Self‑motivated with strong attention to detail and the ability to work independently while contributing to a team environment.
• The physical demands of the position require standing, using hands and fingers, reaching with arms and hands, walking, stooping, kneeling, crawling, or crouching.
• Must be able to regularly lift and/or move up to 25 pounds, occasionally up to 50 pounds.
• Vision requirements include close vision, distance vision, peripheral vision, and ability to adjust focus.

The physical demands require standing, using hands to finger, feel and touch; reach with arms and hands; talk and hear. This position requires frequent walking. Occasionally, employee is required to climb or balance, stoop, kneel, crouch or crawl. Must be able to regularly lift or move up to 50 pounds. Specific vision requirements are close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
