Project Manager—Pharmaceutical/Healthcare Marketing
About the Role
C&A Digital is seeking a highly organized project manager to keep multiple concurrent jobs moving across our pharmaceutical and healthcare marketing accounts—from kickoff through medical/legal/regulatory (MLR) approval and final release. This role is the connective tissue between copy, art, account, and production: owning timelines, trafficking work through review, managing scope, and keeping internal teams and client partners aligned on status and next steps. This role is hybrid with 3 days a week in our White Plains, NY office. Candidates who are calm under deadline pressure, relentlessly organized, and comfortable holding people to dates will do well here.
Key Responsibilities
- Build and maintain project timelines from kickoff through MLR submission, revision rounds, and final release—backward-planning from hard in-market dates and flagging risk before dates slip.
- Traffic jobs between copy, art, account, and production, confirming every handoff includes complete, correctly versioned files and clear written direction.
- Manage MLR submission logistics—verifying that annotated files, reference citation lists, and highlighted reference packs are complete and submission-ready before a job is due for submission.
- Run internal status meetings and maintain hot sheets/status reports for internal teams and client partners.
- Manage scope: document what was requested versus what was approved, flag out-of-scope requests as they arise, and support estimate and change-order conversations.
- Forecast resourcing needs across concurrent jobs and brands, escalating capacity conflicts early enough to act on them.
- Serve as a day-to-day point of contact for client and agency partners, setting clear expectations on timing, deliverables, and dependencies.
- Maintain job files, version histories, and archives so any team member can pick up a job mid-stream without reconstructing its history.
Required Qualifications
- Demonstrated ability to manage multiple concurrent jobs across brands without losing track of status, version, or owner.
- Strong timeline-building skills, including backward-planning from a fixed submission or in-market date.
- Exceptional attention to detail—able to confirm that requested changes were made accurately and completely before a job advances.
- Excellent written and verbal communication: a clear status update, a clean recap, and a direct escalation when one is warranted.
- Comfort holding teams and stakeholders accountable to dates diplomatically but firmly.
- Strong organizational and documentation habits across shared drives, trackers, and status tools.
- Working proficiency in Microsoft Excel, Word, PowerPoint, and Outlook, plus at least one project management or workflow platform.
- Reliable availability that overlaps with US Eastern Time business hours for review handoffs.
Preferred Qualifications
- Prior project management or traffic experience in healthcare/pharmaceutical marketing, medical communications, or another regulated industry (financial services, legal, etc).
- Familiarity with pharma MLR review cycles, annotation and reference pack requirements, and redline-style revision tracking.
- Experience shepherding both print production and digital/omnichannel deliverables through final release.
- Experience coordinating freelance or offshore resources across time zones.
