Job summary

Berger Communities seeks a seasoned professional to manage capital projects and renovations in our State College communities. You will oversee bid processes, contracts, and site coordination with contractors, ensuring projects stay on time and within budget.

Key duties include maintaining calendars, preparing routine progress reports, and liaising with the Director of Capital Projects. A 3–5 year background in multi-family rehab is essential for this role.

Qualifications

• 3–5 years of experience in construction/rehab field (Multi-family, CapEx and renovations strongly preferred) including all aspects of property maintenance operations capital projects management.
• Strong budgeting and scheduling skills with attention to detail.
• Experience with bidding, contracts, and vendor coordination.

Responsibilities

• Administrate daily calendars and schedules; coordinate apartment renovations and construction with Community Managers.
• Prepare regular reports to evaluate if projects are on time and on budget; support PO and invoice processes.
• Maintain capital improvements budget and liaise between Director of Capital Projects and Contractors.
• Participate in monthly construction meetings; attend safety trainings; ensure invoicing is paid within 2 weeks of project completion.

Minimum Experience:

Role & Responsibilities

Administrative

• Helpmaintainand managethe dailycalendars and schedules asrequested.
• Work with Community Managers to ensure proper scheduling ofapartmentand other community renovations and construction.
• Prepareregularreportstoevaluatewhethereachproject isbeing completedon timeandon budget. Support the purchase order and invoice process to ensuretimelyordering andpayment.
• Maintain capital improvementsbudget.
• ServeasliaisonbetweenDirectorofCapitalProjects andContractors.
• Participate in monthly constructionmeetings.
• Attendsafety meetings andtraining.
• Purchase supplies usingstandardpurchase ordersystem and proper biddingprocedures.
• Follow the standards for the purchase order approval process and ensure all invoices are paid within 2 weeks of project completion.
• Create purchase orders, WTN numbers and invoices.
• Update Capital Projects and Rehab trackers.
• Ensure all vendors fill out required BRC in Ops System.

Bidding

• Perform site wide Capital Needs Assessment inspections to determine the existing condition of the building structure, common areas, roofs, mechanicals, and other building components.
• Write detailed Scope of Work for identified Capital Projects and unit Renovations and prepare Bid forms.
• Distribute prepared scope of work to a minimum of three(3) agreed upon vendors.
• Prepare received bids for Director of Capital Projects.
• Notify excluded bidders and createcontractfor approvedvendor.

Contracts

• Create contracts for each individual project with great attention to detail.
• Ensure contracts are signed and saved in the appropriate location on the server.
• Manage the contract approval process including signatures and the Ops approval process.

Site Management

• Meet with vendors and contractors on site so they can collect appropriate information for proper bidding.
• Work with Community Manager to ensure proper delivery of all materials.
• Work with Director of Capital Projects to ensure resolution to any vendor opportunities that may arise.
• Confirm work is fully completed for release of payment.
