The Project Manager will oversee strategic projects and process improvements supporting the company’s General & Administrative (G&A) organization. This includes initiatives spanning Finance & Accounting, Human Resources, Legal & Compliance, IT, and Facilities.
This position is focused on project delivery rather than functional ownership. The individual will partner with department leaders and subject-matter experts to introduce new technologies, improve existing processes, and execute organizational initiatives. Projects may range from financial and HR system implementations to contract management solutions, technology deployments, workplace changes, and infrastructure enhancements.
The successful candidate will be an adaptable project leader who can work across a variety of business functions, establish strong relationships with both technical and non-technical stakeholders, and apply disciplined project management practices around scope, schedules, budgets, risks, resources, and organizational change.
Core Responsibilities
Finance & Accounting
- Manage projects involving financial systems, processes, and operational improvements, including ERP implementations and enhancements, financial close initiatives, AP/AR technology deployments, and reporting or analytics programs.
- Develop and maintain project schedules, budgets, resource plans, and key milestones in collaboration with Accounting, FP&A, and other finance stakeholders.
- Coordinate system testing, data conversion, UAT, deployment, and transition activities, ensuring appropriate business-owner approvals before launch.
- Identify and monitor project risks, dependencies, and internal control considerations, escalating issues that could impact financial reporting or regulated processes.
Human Resources
- Direct implementation initiatives involving HR technology and programs, including HRIS and payroll changes, benefits platforms, talent systems, and performance-management solutions.
- Establish project scope, schedules, budgets, and deliverables while coordinating HR teams, IT resources, implementation partners, brokers, PEOs, and other third parties.
- Develop and execute communication and change-readiness activities associated with HR system and process changes, including training and user adoption efforts.
- Maintain appropriate project governance materials, including project charters, action and risk logs, status updates, decision records, and other documentation.
Legal & Compliance
- Coordinate projects supporting Legal and Compliance, including contract management technology, governance/risk/compliance platforms, policy management initiatives, and other compliance-related programs.
- Work with Legal, Compliance, business stakeholders, and external advisors to define requirements, establish approval processes, and manage project timelines.
- Monitor milestones and deliverables associated with insurance and risk initiatives, audit preparation, governance programs, and related corporate projects.
- Establish organized project repositories and documentation practices that preserve version history, approvals, and appropriate audit records.
IT & Facilities
- Manage projects involving corporate technology, infrastructure, applications, and workplace operations. Examples include enterprise application deployments, infrastructure improvements, collaboration technologies, office relocations or build-outs, and procurement-related systems.
- Build schedules, budgets, resource plans, and implementation strategies while coordinating internal technology teams, facilities personnel, contractors, service providers, and other vendors.
- Oversee testing, deployment, transition, and go-live activities with an emphasis on minimizing operational interruptions for employees.
- Participate in initiatives related to business continuity, disaster recovery, and the resilience of corporate technology and physical infrastructure.
- Act as the primary project coordination resource across multiple concurrent G&A initiatives, establishing a consistent approach to planning, reporting, communication, and project governance.
- Maintain consolidated project schedules, RAID documentation, dashboards, and other management reporting used to communicate overall project health, risks, dependencies, and resource considerations to executive sponsors, including the CFO.
- Organize project launches, leadership reviews, steering committee meetings, and working sessions to maintain alignment and drive decisions.
- Oversee relationships with implementation firms, consultants, technology providers, and other project vendors, including monitoring scope, schedules, deliverables, and invoices.
Required Qualifications
- Bachelor’s degree in Business, Project Management, or a comparable discipline.
- At least 5 years of professional project management experience, including successful delivery of initiatives in at least two G&A areas such as Finance/Accounting, HR/HRIS, Legal/Compliance, IT, or Facilities.
- Proven experience developing and managing project schedules, budgets, risk and issue logs, resource plans, and executive-level status reporting across multiple initiatives.
- Experience working with outside implementation firms, technology vendors, consultants, managed service providers, contractors, or other third parties.
- Broad understanding of G&A business functions, including fundamental accounting controls, HR requirements, contract management, compliance activities, and IT change processes.
- Previous experience in life sciences, biotechnology, or another highly regulated environment is desirable, particularly experience working within or alongside GxP-related requirements.
- Strong written, verbal, organizational, and interpersonal skills, with the ability to communicate effectively with executives, functional leaders, vendors, technical teams, and end users.
Preferred Background
- PMP, CAPM, or comparable project management credential.
- Experience implementing or upgrading enterprise platforms such as ERP, HRIS, contract lifecycle management, governance/risk/compliance, or related business systems.
- Familiarity with project and portfolio management or collaboration applications such as Smartsheet, Microsoft Project, Asana, or comparable tools.
- Knowledge of structured change-management approaches, including methodologies such as Prosci or ADKAR.
