Job summary

Gallo Mechanical Services is seeking a Service Project Manager for HVAC service projects to lead the lifecycle from initiation to close. You will coordinate field labor, subcontractors, and vendors to deliver on time, within budget, and to client expectations with a strong focus on safety and quality.

You will define project scope, manage costs, supervise technicians, and develop long-term client relationships to foster repeat business and future opportunities.

Qualifications

• Bachelor's degree in Construction Management, Mechanical Engineering, or related field (or significant relevant HVAC PM experience).
• 5+ years of project management experience in HVAC/mechanical services.
• Strong understanding of HVAC systems and construction management principles.
• Proven track record managing budgets, projects, and teams.

Responsibilities

• Oversee and manage HVAC service projects from start to finish within budget and timeline.
• Coach, train, and develop HVAC Service Technicians.
• Collaborate with clients to define scope, schedule, deliverables, and manage risks.
• Supervise installation and servicing of HVAC systems per standards and client specs.
• Execute permits, inspections, and close projects with completed billing.
• Develop job costing systems for labor, materials, subcontractors.
• Negotiate contracts and purchase orders with vendors and subcontractors.
• Monitor progress with regular cost reviews and keep stakeholders informed.
• Build and maintain relationships with customers, vendors, subcontractors, and internal teams.
• Foster a safe work environment with pre-walks and on-site safety audits.

Job description

Gallo Mechanical Services is looking for a Service Project Manager for HVAC Service projects to join our dynamic team. In this role, you will be the main point of contact for managing the life cycle of HVAC service projects from start to finish. You will ensure that projects are delivered on time, within budget, and exceed client expectations, with a strong focus on safety, efficiency, and quality. As the Service Project Manager, your responsibilities will include defining project scope, managing costs, coordinating field labor, and overseeing subcontractors.

Efficient delivery of project deliverables, effective quality control, clear communication of expectations to stakeholders, and upward reporting to senior management are critical tasks that must be performed throughout each project’s lifecycle. The Project Manager will also develop and maintain long-term customer relationships to foster better communication and develop future work.

RESPONSIBILITIES:

• Oversee and manage HVAC service projects, ensuring effective execution of the service work, timely completion, quality, and adherence to budget.

• Effectively coach, train, and develop a team of HVAC Service Technicians.

• Collaborate with clients (internal and external) to define project scope, schedule, and deliverables while managing risks and expectations.

• Supervise the installation and servicing of HVAC systems, ensuring all work meets industry standards, safety regulations, and client specifications.

• Execute and file all permits associated with HVAC for the project; ensuring all required permits are pulled, inspections are performed, and projects are properly closed, and the billing process is complete.

• Develop job costing systems, including labor, material, and subcontractor cost codes, and evaluate estimates to ensure accurate budgeting.

• Negotiate contracts, vendor agreements, and purchase orders for materials and subcontractors, ensuring compliance with project specifications.

• Monitor project progress and conduct regular cost reviews, keeping stakeholders informed to ensure projects stay on track.

• Build and maintain strong relationships with customers, vendors, subcontractors, and internal teams.

• Foster a safe work environment through project pre-walks to evaluate upfront any safety requirements and on-site safety audits during the project to address any safety infractions.

• Bachelor's degree in Construction Management, Mechanical Engineering, or a related field, or significant relevant experience in HVAC service project management.

• 5+ years of project management experience, with a preference for those in the HVAC or mechanical services industry.

• Strong understanding of HVAC systems, mechanical service projects, and related construction management principles.

• Proven track record of managing projects, budgets, and teams in a service-driven environment.

• Excellent problem-solving skills with the ability to handle complex issues and multiple projects simultaneously.

• Outstanding written and verbal communication skills, with the ability to interact effectively with clients, vendors, and team members.

• Strong analytical and mathematical abilities, with a solid understanding of HVAC principles and industry best practices.
