Job summary

Wexford Hilton Head is seeking a Project Manager to plan, coordinate, and complete capital improvement, infrastructure, and facilities projects. The role also provides leadership for the Facilities Maintenance Department and Architectural Standards, including supervision of staff and serving as staff chair of the Infrastructure Committee.

The position requires coordinating with multiple stakeholders, managing budgets and schedules, and ensuring compliance with regulatory and contractual

Qualifications

  • Bachelor's degree in Business, Construction Management, Project Management, Architecture, Engineering, or a related field, or an equivalent combination of education and relevant experience.
  • Three to five years of project management experience, preferably involving capital projects, construction, facilities, homeowner associations, hospitality, real estate, or private clubs.
  • Experience managing project schedules, budgets, contractors, vendors, and multiple concurrent projects.
  • Experience supervising employees and overseeing facilities, maintenance operations, or architectural standards administration.
  • Working knowledge of budgeting, procurement, contracts, change management, permitting, and project documentation.
  • Ability to read and interpret construction plans, specifications, proposals, contracts, and related documents.
  • Strong organizational, communication, analytical, problem-solving, and decision-making skills.
  • Proficiency with Microsoft Office and project management, scheduling, budgeting, and document-management systems.
  • Project Management Professional (PMP) certification or a similar credential is preferred but not required.

Responsibilities

  • Manage assigned projects from planning, budgeting, and feasibility through implementation, completion, and closeout.
  • Develop and maintain project scopes, schedules, budgets, milestones, and supporting documentation.
  • Coordinate requests for proposals, bids, estimates, and contractor or vendor selection.
  • Coordinate contractors, consultants, vendors, and other external resources while monitoring performance, schedules, quality, and compliance.
  • Monitor project budgets, expenditures, forecasts, invoices, contracts, and change orders; identify variances and recommend corrective action.
  • Identify project risks, delays, or conflicts and coordinate solutions with management and project stakeholders.
  • Coordinate permitting, inspections, regulatory requirements, and governmental approvals.
  • Maintain organized digital project records and provide regular updates regarding schedules, budgets, progress, risks, and outstanding decisions.
  • Coordinate project closeout, including final inspections, punch-list completion, warranties, final costs, and transition to the appropriate department.

Facilities Maintenance and Architectural Standards Oversight
  • Provide leadership and oversight of Wexford’s Facilities Maintenance Department and Architectural Standards function, including their employees.
  • Establish priorities for routine, preventive, and long-term maintenance of Wexford facilities and community assets.
  • Ensure maintenance requests, repairs, inspections, and preventive maintenance activities are completed promptly and according to established standards.
  • Coordinate activities performed by the Facilities Maintenance Director, contractors, and outside vendors.
  • Assist with the Facilities Maintenance and Architectural Standards operating budgets and monitor departmental expenditures.Attend Architectural Standards Committee meetings with the ASC Administrator.
  • Identify facility conditions, repair needs, and potential capital improvements and make recommendations to the General Manager.
  • Supervise, support, and evaluate Facilities Maintenance and ASC employees.
  • Coordinate with department leaders to prioritize facility needs and minimize operational disruptions.
General Responsibilities
  • Attend and support applicable committee and Board meetings.
  • Maintain effective working relationships with members, employees, contractors, consultants, vendors, and governmental agencies.
  • Manage multiple projects and priorities while adapting to changing organizational needs.
  • Provide the General Manager with monthly reports and records related to infrastructure activities.
  • Perform other duties and responsibilities as assigned by the General Manager.
