Job description

Department:[Operations / Production / Client Services]
Employment Type: Full-Time
Location:On-site in office
Reports To: Marketing Director and Creative Director

About the Role

We're looking for a Project Manager to keep our work moving, scoping it accurately, scheduling it realistically, and getting it delivered on time and on budget without burning out the people making it. You'll be the connective tissue between clients, creative, and production: the person who knows where everything stands, what's at risk, and what needs to happen next.

This is a role for someone who's organized by instinct, direct in communication, and comfortable being the one who says the timeline doesn't work.

Responsibilities
Project Planning & Scoping
  • Scope projects with the creative and account teams, deliverables, hours, milestones, dependencies
  • Build realistic timelines that account for review cycles, client turnaround, and production lead times
  • Identify risks early and build contingency into the plan rather than discovering it at the deadline
  • Draft and maintain project documentation: briefs, schedules, scopes of work, status reports
Execution & Delivery
  • Run projects day to day, assigning tasks, tracking progress, unblocking the team, keeping work moving
  • Manage resourcing across concurrent projects, flagging capacity conflicts before they become fires
  • Coordinate internal reviews, client presentations, and delivery
  • Track budget and hours against scope, and raise it when a project is drifting
Client & Stakeholder Communication
  • Serve as the day-to-day point of contact for project status, timelines, and logistics
  • Send clear status updates that tell people what changed, what's at risk, and what you need from them
  • Manage change requests: assess impact on scope, timeline, and budget, and communicate it honestly
  • Run project kickoffs and wrap-ups
Process & Team Support
  • Protect the team's focus, filter noise, batch requests, push back on unreasonable asks
  • Coordinate freelancers and external vendors: onboarding, scheduling, deliverables, invoicing
  • Improve how we work, identify friction in the process and fix it
  • Maintain project management tooling so it reflects reality, not aspiration
Qualifications
Required
  • [3+] years managing projects in an agency, studio, or in-house creative environment
  • Track record delivering multiple concurrent projects on time and on budget
  • Strong written communication, you can write a status update that people actually read
  • Proficiency with project management tools ([Asana / Monday / Jira / Basecamp / ClickUp])
  • Comfortable holding people to commitments, including people more senior than you
  • Detail-oriented without losing the thread on the bigger picture
Preferred
  • Experience with creative production: design, video, photo, or campaign work
  • Familiarity with production budgets, vendor sourcing, and SOWs
  • Experience with resourcing and capacity planning across a team
  • PMP, CSM, or similar certification
