Job description

Under the direct supervision of the Director of HVAC Construction, Branch Manager, or Senior Project Manager, the Project Manager is responsible for managing all phases of commercial HVAC projects from planning to execution to close-out. This position requires solid planning, management, and communication abilities. Responsible for all deliverables of the project.

Overview
Project Management
  • Manages projects with a net revenue of $10MM+

  • Responsible for ensuring standardization by following processes and holding accountability

Pre-Construction
  • Participates and helps coordinate Preconstruction meetings with the project team
  • Responsible for detailed project review. See PM Manual/Job Review Process
  • Executes and delegates tasks outlined in the Preconstruction schedule
  • Works with the Preconstruction team to identify possible risks and develop a risk management plan through a detailed job review process (contingency log)
  • Develops or helps the team develop the procurement schedule. Tracks and monitors.
  • Initiates, executes, and concludes buy-out process. See PM Manual/Buy-out Process
  • Responsible for processing, reviewing, and monitoring submittals, RFI’s, COR’s, transmittals, and all pertaining logs. Delegates the execution of these processes to APM to maintain the Preconstruction schedule
  • Capable of and responsible for developing a detailed HVAC schedule in Microsoft Project
  • Identifies and initiates early RFI’s
  • Builds a detailed project Schedule of Values. Responsible for obtaining GC’s approval of the SOV before it gets entered in Vista.
  • Builds cash flow projections for the entire duration of the project
  • Creates or delegates to APM to create marked-up drawings, redlining, and overlay drawings in Bluebeam Revu
  • Responsible for the execution of electrical verification
  • Delegates buy-out functions to APM if needed
  • Responsible for establishing the SOW/lead-release form in conjunction with the procurement schedule
  • Responsible for keeping job folders clean and organized
  • Keeps record of all important communications in Pre-Con phase by logging information in Vista, project workbook, saving emails in the job folder, and keeping meeting notes that pertain to APM’s duties and responsibilities
  • Responsible for the early release of time-sensitive, long lead-time equipment and materials
  • Responsible for creating or reviewing purchase order drafts and task agreements created by APM and other team members
  • Responsible for securing all pricing to avoid unnecessary and preventable price escalations
  • Responsible for developing site-specific safety plans
  • Works with the Pre-construction team to transition the project from estimating to project management most effectively and to meet the deadlines
Execution
  • Initiates execution phase of the project by timely release and order of equipment, materials, and subcontractors
  • Directs and manages all aspects of the project. Responsible for controlling the contract scope of work
  • Responsible for accurate data collection, processing, and representation: costs, billings, schedule, budget, billing projections, scope of work
  • Responsible for electrical confirmation, steel, sleeve, and block out coordination, and roof type, slope, and thickness
  • Review in detail all shop drawings and submittals before release to avoid and mitigate installation risks
  • Responsible for the submittals process: collection, review, and distribution
  • Responsible for timely and accurate job cost reporting
  • Responsible for the timely and accurate processing of invoices
  • Responsible for maintaining and updating an accurate project schedule
  • Review BAS control documents to gain a full understanding of control scope and sequence of operations
  • Coordinates project schedule with controls and startup to ensure all departments can perform effectively
  • Coordinates pay requests with the controls department
  • Controls costs and resource allocation
  • Responsible for change management - monitors, registers, and estimates possible cost impacts to the scope of work driven by drawing revisions, ASIs, unforeseen conditions, etc.
  • Responsible for the timely processing and tracking of all CORs and COs
  • Responsible for submitting monthly billing drafts to the general contractor for pre-approval no later than the 15th of each month. Billings must be accurate.
  • Responsible for maintaining a positive billing balance
  • Monitors and controls risks identified in the Pre-construction phase
  • Actively participates in all project meetings
  • Facilitates and holds frequent project progress meetings with Field Supervisors and APM’s
  • Responsible for drafting accurate and detailed task agreements and purchase orders
  • Executes task agreements and purchase orders to maintain the project schedule
  • Negotiates and executes written task agreements with subcontractors and manages the percentage of completion and pay application approval. Monitors overbillings by subcontractors. Responsible for accurate cost accrual of labor.
  • Updates all task agreements and purchase orders by following the change order process
  • Responsible for maintaining high standards of safety by ensuring field operations follow all established S+P and GC processes
  • Manages stakeholder engagement and manages communications
  • Leads and manages the project team and holds all team members accountable
  • Schedules the delivery of materials and equipment to the job site
  • Facilitates subcontractor meetings to maintain and develop good working relationships
  • Resolves scheduling issues that result from inclement weather, emergencies, or other delays
  • Performs frequent site visits to monitor job progress, perform quality control, quality assurance, and ensure safety practices. Documents site visits with notes and pictures. All documents are saved in the respective job folders.
  • Assists the field superintendent in resolving all field issues and trade clashes as necessary
  • Responsible for lift and rigging plans
  • Authorizes and monitors all “other direct costs” (crane, lift, etc.), including rental
  • Calls in inspections per the superintendent’s request
  • Responsible for the successful passing of all job site inspections
Close-Out
  • Continues to monitor and control project work and risks associated with final stages of the project: early start-up, warranty extension, warranty costs while in execution, budget, schedule, extended schedule, etc.
  • Oversees job commissioning, scheduling of required personnel (included in site visits)
  • Responsible for final QC/QA checklists and successful start-up. Delegates responsibilities and allocates resources efficiently to ensure the successful completion of the project
  • Manages job close-out documentation: T&B, punch list, final job cost report to 100%
  • Responsible for obtaining the substantial completion date and project close-out activities
  • Ensures no gaps are left in our scope of work, and our retainage is released promptly
  • Documents and distributes lessons learned with all team members
