Position Overview
A growing national services organization is seeking an experienced Program Manager to provide leadership across multi-site retail rollout projects, facilities maintenance programs, refreshes, remodels and related commercial services.
This role requires more than individual project management experience. The successful candidate must have demonstrated experience leading a department, program or portfolio of projects, developing project teams, managing client relationships and building the operational capacity needed to support growth.
The Program Manager will work across project execution, client engagement, estimating, vendor development and team leadership. The ideal candidate is comfortable operating in a lean, fast-growing environment and can move between strategic planning and hands‑on operational problem solving.
Key Responsibilities
Program and Department Leadership
- Lead the planning and execution of multiple concurrent rollout, facilities maintenance and commercial improvement programs.
- Provide direction, structure and accountability to project management and operational teams.
- Establish priorities, workflows, reporting expectations and execution standards.
- Coach and develop Project Managers, Assistant Project Managers and operational team members.
- Review department capacity, workload, performance and readiness for upcoming programs.
- Build scalable processes, procedures, templates and operating routines.
Retail Rollout and Facilities Services
- Lead multi-site retail rollout programs from initial scope review through field execution and closeout.
- Support facilities maintenance programs involving work orders, service levels, dispatching, vendor coordination and completion documentation.
- Provide operational guidance for refreshes, remodels, janitorial services and small repairs
- Review technical scopes and identify potential execution, scheduling, cost and resource risks.
- Participate in test installations, site assessments and program launches as needed.
- Serve as a senior client-facing contact for key accounts and major programs.
- Lead client meetings, project reviews, escalations and solution discussions.
- Communicate project performance, risks, corrective actions and next steps clearly.
- Strengthen client confidence through responsiveness, accountability and operational knowledge.
- Identify opportunities to expand services within existing client accounts.
- Support long‑term account retention and development.
Vendor and Field Capacity Development
- Expand and strengthen the company’s network of vendors, subcontractors and field crews by territory and trade.
- Work with the project team to identify vendor coverage gaps and prioritize recruiting efforts.
- Evaluate vendor infrastructure, experience, staffing, tools and ability to support national programs.
- Support vendor onboarding, training, compliance, reporting and performance management.
- Develop vendor and crew readiness for new clients, scopes, technologies and territories.
- Establish clear expectations for quality, communication, safety, documentation and client‑specific requirements.
Estimating and Business Growth Support
- Lead or support the preparation of estimates, bids, proposals and scopes of work.
- Review labor requirements, vendor pricing, travel, scheduling, materials, assumptions and operational risks.
- Collaborate with executive and financial leadership on pricing, margins and project feasibility.
- Help translate new business opportunities into practical and profitable execution plans.
- Participate in capability presentations and client discussions related to new programs.
- Support growth through improved operational capacity, client engagement and service expansion.
Performance and Reporting
- Monitor project and department KPIs, including schedule performance, service quality, client satisfaction, estimate turnaround, gross margin and vendor performance.
- Review estimated versus actual project performance and recommend corrective actions.
- Improve forecasting, pipeline visibility, documentation and operational reporting.
- Identify recurring execution issues and implement sustainable solutions.
Required Qualifications
- At least 5 years of progressively responsible experience in project management, program management, operations, retail services, facilities services or commercial construction.
- Demonstrated experience leading a department, program, portfolio or project management team.
- Proven experience managing multi‑site retail rollout programs.
- Direct experience with facilities maintenance or recurring service operations.
- Strong experience communicating directly with corporate clients and senior stakeholders.
- Experience sourcing, onboarding, training and managing vendors, subcontractors or field crews.
- Strong understanding of project costs, margins, scheduling, risk and change management.
- Ability to provide both strategic leadership and hands‑on operational support.
- Ability to travel based on client and program requirements.
- Valid driver’s license.
Technology and Systems Experience
Candidates should have experience using project, construction or facilities management
Experience with one specific product is not required, but candidates must demonstrate the ability to use technology to manage projects, vendors, documentation, reporting and client communication.
Preferred Qualifications
- Experience with national retail, restaurant, hospitality or commercial service programs.
- Experience managing both project‑based rollouts and recurring facilities maintenance work.
- Experience launching new programs or entering new geographic territories.
- Experience expanding existing client accounts or supporting business development.
- Experience working in a subcontractor‑driven service model.
- PMP, construction management or facilities management credentials are preferred but not required.
