Qualifications

Responsibilities

  • Coordinate project schedules, timelines, task trackers, and milestones.

  • Coordinate materials and logistics with Purchasing and Inventory.

Job Description:

As a Project Management Associate, you will support the planning, coordination, and execution of projects from kickoff through delivery. Working closely with Project Managers and cross-functional teams, you will help maintain project schedules, documentation, communication, and action items to keep projects organized and on track.

As a key support role, you’ll assist in tracking progress, preparing reports, coordinating meetings, and following up on action items to help keep complex machine builds on schedule. This role is an excellent opportunity for someone early in their project management career who is eager to learn, contribute, and grow within a fast-paced manufacturing environment.

What You’ll Do
  • Coordinate & Track: Assist with project schedules, timelines, task trackers, and milestones. Monitor project progress, update internal systems, and follow up on action items to help keep projects moving forward.
  • Organize & Document: Maintain accurate project files, including contracts, change orders, technical drawings, and other project documentation. Support version control and ensure documentation remains organized throughout the project lifecycle.
  • Communicate & Collaborate: Coordinate project meetings, calls, and reviews with customers, vendors, and internal teams. Prepare agendas, meeting notes, and project updates while ensuring important changes and concerns are communicated to the appropriate stakeholders.
  • Support Project Reporting: Help prepare progress reports, status updates, dashboards, and other project materials for internal teams and customers. Assist with preparation for factory acceptance tests (FATs) and site reports.
  • Coordinate Materials & Logistics: Track parts and materials needed to support project timelines. Work with Purchasing and Inventory to monitor component availability and delivery, assist with packing lists and shipping documentation, and follow up with vendors on order status or delays.
  • Improve & Learn: Identify opportunities to improve project processes and documentation. Participate in project close-out and lessons-learned activities while continuing to build knowledge of project management principles, tools, systems, and software.
Qualifications:
  • Basic understanding of manufacturing processes or capital equipment projects
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook
  • Strong attention to detail and accuracy
  • Strong time management and prioritization skills
  • Effective written and verbal communication skills
  • Ability to manage multiple tasks and deadlines in a fast-paced manufacturing environment
  • Proactive problem-solving mindset with the ability to identify potential issues and elevate appropriately
  • Basic technical literacy and comfort understanding mechanical/electromechanical components
  • Eagerness to learn and grow within a technical project management team
Desired Skills
  • Experience in project coordination, operations, or engineering support role
  • Experience with MS Project or Smartsheet
