Job summary

Silver Creek Modular is seeking a highly organized Project Management Administrator to support our Project Management team in a fast-paced modular construction environment. You will coordinate subcontract administration, COIs, and Procore documentation throughout the project lifecycle from Perris, CA.

You will work cross-functionally with Legal, Labor Compliance, Risk/Insurance, and Field Operations to ensure timely and accurate project records.

Qualifications

  • 4+ years of experience in project administration, construction administration, contract administration, or a related role.
  • Experience in construction, modular construction, manufacturing, or project-based environments preferred.
  • Experience with Procore required.
  • Strong organizational skills with the ability to manage multiple projects and deadlines.
  • Strong written and verbal communication abilities, with cross-functional collaboration skills.

Responsibilities

  • Provide administrative and coordination support to the Project Management team across multiple construction and manufacturing projects.
  • Coordinate the preparation, routing, execution, tracking, and maintenance of subcontracts, amendments, exhibits, and related project documentation.
  • Partner with Legal and Labor Compliance to coordinate subcontractor documentation and project-specific compliance requirements.
  • Manage Certificates of Insurance (COIs) and other insurance records for subcontractors.
  • Coordinate and track insurance requests from owners, general contractors, and project partners.
  • Support Procore project setup, document management, and user administration.
  • Assist with Procore training and development of training materials and templates.
  • Monitor project documentation and follow up with internal teams and subcontractors.
  • Maintain reports and dashboards related to subcontractors, insurance, permits, and documentation.

Position Summary:

We are seeking a highly organized and detail-oriented Project Management Administrator to support our Project Management team in a fast-paced modular construction and manufacturing environment. This position will play a key role in coordinating project documentation, subcontract administration, insurance requirements, and Procore administration throughout the project lifecycle.

The Project Management Administrator will work cross-functionally with Project Management, Legal, Labor Compliance, Accounting, Purchasing, Field Operations, subcontractors, and project partners to ensure project requirements are accurately documented, tracked, and completed on time.

Job Responsibilities:
  • Provide administrative and coordination support to the Project Management team across multiple construction and manufacturing projects.
  • Coordinate the preparation, routing, execution, tracking, and maintenance of subcontracts, amendments, exhibits, and related project documentation.
  • Partner with Legal and Labor Compliance to coordinate subcontractor documentation and project-specific compliance requirements.
  • Manage and maintain Certificates of Insurance (COIs), insurance documentation, endorsements, and other required subcontractor insurance records.
  • Coordinate and track upstream insurance requests from owners, general contractors, construction managers, and other project partners, including certificates, endorsements, and additional insured documentation.
  • Partner with Risk/Insurance and Legal on insurance requests requiring review, clarification, or escalation.
  • Track and maintain project permits, licenses, approvals, and other required project documentation, including expiration and renewal dates.
  • Maintain accurate and organized project records within Procore and other company systems.
  • Support Procore project setup, document management, user administration, workflows, and administrative processes.
  • Assist with the development and delivery of Procore training for project management and field personnel.
  • Develop and maintain Procore guides, training materials, templates, and standardized processes.
  • Monitor outstanding project documentation and proactively follow up with internal teams, subcontractors, vendors, and project partners.
  • Maintain reports, and dashboards related to subcontractors, insurance, permits, and documentation.
  • Support project closeout activities by ensuring required documentation is complete, organized, and properly archived.
  • Identify opportunities to improve project administration processes, documentation standards, and cross-functional workflows.
  • Maintain confidentiality and exercise sound judgment when handling contractual, insurance, legal, financial, and project-related information.
  • Perform other project administration and coordination duties as assigned by the Director of Project Management.
Qualifications:
  • 4+ years of experience in project administration, construction administration, contract administration, project coordination, or a related role.
  • Experience in construction, modular construction, manufacturing, engineering, or another project-based environment strongly preferred.
  • Experience with Procore required.
  • Working knowledge of construction documentation, subcontract administration, project compliance, or insurance documentation preferred.
  • Experience managing COIs, subcontractor documentation, permits, or insurance requests is highly desirable.
  • Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
  • Exceptional attention to detail and follow-through.
  • Strong written and verbal communication skills with the ability to communicate effectively with internal teams and external project partners.
  • Ability to work collaboratively with Legal, Labor Compliance, Risk/Insurance, Project Management, Field Operations, and other cross-functional teams.
  • Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and Teams.
  • Ability to maintain accurate records and handle confidential information with discretion.

Salary:

The salary range for this position is $75,000 to $85,000 commensurate with qualifications and experience. Final compensation will be determined based on a variety of factors, including but not limited to skills, relevant experience, internal equity, and market data.

This position will be onsite in our Perris, CA location.
