Apex Companies, LLC is seeking a Project Accounting Analyst in the United States to support project setup, invoicing, collections, and financial monitoring. You will ensure contracts drive accurate billing, manage WIP, and collaborate with project managers to keep financials on track.

The role requires an Associate's degree or pursuing studies in business or accounting, 3–5 years’ office experience, and proficiency in MS Excel.

Qualifications

• Associates Degree or currently pursuing - preferably in Business Administration or Accounting
• Minimum of 3-5 years of office experience, professional services a plus
• Experience with Cost and Revenue tracking a plus
• Highly organized and strong attention to detail
• Proficient with MS Office/Excel
• Familiarity with accounting operating systems is a plus
• Vision or Deltek product experience a plus
• Well organized and able to track and report information
• Multi-tasker and Self Starter
• Excellent written and verbal communication skills.

Responsibilities

• Project Set-up & Maintenance: set up projects in the accounting system per client contract, verify PSF terms, maintain project records, set up billing rates, process change orders, assist with revenue and cost budgets, close out when complete.
• Invoicing: review expenses, prepare invoices, obtain approvals, ensure invoices align with contracts, post invoices to system, reconcile unbilled or deferred balances, process subcontractor invoices.
• Collections: follow up on invoices, review past-due items with PMs, coordinate with Corporate Receivable Staff, track retainers and apply them to projects.
• Monitor Projects and Project Financials: review WIP and backlog, resolve discrepancies, ensure cost and revenue accruals, validate revenue recognition.
• Other Responsibilities: assist auditors, attend project reviews, support project managers, develop ad-hoc reports, support corporate initiatives, communicate with team and escalate issues.
