POSITION OVERVIEW - Project Expeditor

We are seeking an experienced Project Expeditor to proactively manage Purchase Orders and Subcontracts from post-award through final delivery, receipt, and package closeout. This individual will serve as the primary coordination point between suppliers, subcontractors, and internal project stakeholders. They will make sure contractual requirements, supplier documentation, fabrication milestones, shipping requirements, and Required Delivery Dates (RDDs) are met according to the project schedule. The ideal candidate brings strong supplier engagement skills, detailed schedule and documentation tracking, and a track record of finding risks early and driving recovery actions. This role reports to the Expediting Lead / Manager within Procurement / Supply Chain.

KEY RESPONSIBILITIES

  • Review assigned Purchase Orders, Subcontracts, specifications, and schedules to verify tag numbers, quantities, milestones, documentation requirements, RDDs, and shipping requirements, and resolve any discrepancies with Procurement.

  • Establish regular communication with suppliers and subcontractors, and monitor progress through engineering, fabrication, testing, shipment, delivery, and receipt.

  • Obtain and validate supplier fabrication schedules, progress reports, photos, and material-status information, and challenge reported progress that isn’t supported by evidence.

  • Manage and expedite supplier documentation per the SDRL/VDR, tracking each submission through review, revision, approval, and final acceptance.

  • Find overdue, rejected, or outstanding documentation that could delay approval, fabrication, shipment, turnover, or closeout, and elevate it when milestones are at risk.

  • Monitor supplier progress against contractual milestones and RDDs, require recovery plans when dates are at risk, and track recovery actions through resolution.

  • Keep visibility of critical-path and high-risk packages, and increase the frequency and intensity of expediting as needed.

  • Coordinate across Procurement, Engineering, Quality, Project Controls, Construction, Logistics, 3PL, and Materials Management on supplier issues, inspections, schedule impacts, and field need dates.

  • Coordinate shipment readiness and Shipment Release Notes (SRNs), and track materials through delivery, receipt (GRNs/MRRs), and resolution of Overage, Shortage & Damage (OS&D) items.

  • Perform desk expediting and lead supplier progress meetings, and conduct field/source expediting visits to verify actual fabrication progress.

  • Maintain expediting trackers, Material Status Reports, and SDRL/VDR registers, and prepare regular status reports on progress, risks, and recovery actions.

  • Communicate critical delays or supplier-performance issues right away, and keep records that back up reported progress.

REQUIRED QUALIFICATIONS

  • Experience in project expediting, procurement, supply chain management, logistics, materials management, construction, or a related project-delivery function.

  • Working knowledge of Purchase Orders, Subcontracts, contractual milestones, supplier deliverables, and Required Delivery Dates.

  • Experience managing or tracking SDRLs, VDRs, supplier submittal registers, or equivalent vendor-document requirements.

  • Ability to read and interpret contracts, project and supplier schedules, technical documentation, and procurement requirements.

  • Ability to manage multiple procurement packages and competing priorities at the same time.

  • Strong analytical, problem-solving, organizational, and communication skills.

  • Proficiency in Microsoft 365 (Excel, Outlook, Teams, Word).

  • Ability to travel to supplier, subcontractor, and project locations as required.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in Supply Chain Management, Business, Construction Management, Engineering, or a related discipline.

  • 5+ years of relevant experience in project expediting, procurement, supply chain, logistics, or supplier management.

  • Experience supporting EPC, semiconductor, pharmaceutical/biotech, data center, or other large-scale construction projects.

  • Experience with SAP or a similar ERP/procurement system.

  • Field/source expediting experience and familiarity with reviewing supplier fabrication schedules.

  • CPSM or a comparable supply chain certification.
