The Expeditor is responsible for managing post-purchase order activities to ensure equipment and materials are manufactured, inspected, shipped, and delivered in accordance with project requirements and schedules. This role works closely with suppliers, engineering, quality, logistics, procurement, and project teams to identify potential delays early and drive recovery actions before they impact construction or operations.
Key Responsibilities
- Monitor supplier performance and track manufacturing progress against agreed schedules and milestones.
- Maintain regular communication with vendors to confirm production status, completion dates, and delivery commitments.
- Track long-lead and critical equipment, ensuring key manufacturing milestones remain on schedule.
- Follow up aggressively on overdue materials, documentation, engineering approvals, and supplier actions.
- Monitor vendor engineering documents and approvals to ensure documentation does not delay manufacturing or shipment.
- Coordinate with Quality and suppliers to ensure required inspections, testing, and quality documentation are completed on schedule.
- Identify potential manufacturing or delivery delays and work with suppliers to develop recovery and mitigation plans.
- Escalate schedule risks and supplier delays before they impact project construction or required-on-site dates.
- Track equipment and materials from manufacturing through factory release, shipment, and final delivery.
- Coordinate with logistics teams, freight forwarders, suppliers, and other stakeholders to support on-time shipment and delivery.
- Prepare and maintain material status and expediting reports, highlighting critical items, overdue activities, schedule risks, and recovery actions.
- Provide regular updates to project, procurement, engineering, construction, and supply chain teams.
- Participate in supplier meetings and expediting reviews to drive resolution of outstanding issues.
Qualifications & Experience
- Previous experience in expediting, procurement, supply chain, materials management, or vendor management, preferably within large industrial, energy, EPC, oil & gas, LNG, or infrastructure projects.
- Strong experience with post-order expediting and supplier follow-up.
- Understanding of manufacturing schedules, vendor documentation, inspections, logistics, and material delivery processes.
- Experience managing long-lead and schedule-critical equipment.
- Ability to identify schedule risks and effectively push suppliers to implement recovery actions.
- Strong communication, organization, and stakeholder-management skills.
- Experience working with procurement or ERP systems such as SAP is preferred.
- Ability to manage multiple purchase orders, suppliers, and priorities simultaneously.
