Job summary

CobbFendley Inc. is seeking a Telecommunications Project Coordinator in Albuquerque, NM. You will support project setup, budgeting, scheduling, and documentation while coordinating with PMs, clients, and subconsultants to ensure successful project delivery.

Responsibilities

  • Set up and close out projects per PM guidance.
  • Assist with weekly time reviews and coordinate with project team to fix issues.
  • Assist invoicing and accounts receivable reviews, including subconsultant invoices and contract compliance.
  • Maintain spreadsheets for budget and schedule tracking, including logs and progress updates.
  • Monitor project finances and escalate issues to support healthy financials.
  • Coordinate with clients, subconsultants, utilities, and municipalities; help with change orders.
  • Prepare and file project documents, reports and estimates.
  • Attend meetings and coordinate with internal and external stakeholders.

Position: Telecommunications Project Coordinator

Location: Albuquerque, New Mexico

Responsibilities
  1. Setup and close out all projects assigned by the Project Manager in adherence with company guidelines.
  2. Assist Project Manager with the weekly review of time charged to projects and coordinate with the project team to correct issues.
  3. Assist Project Manager with invoicing and accounts receivable, including review of invoices for rate and billing specifications, subconsultant invoices for contract compliance, and reporting on unbilled or outstanding accounts.
  4. Develop and maintain spreadsheets for budget and schedule tracking, including progress updates, meeting minutes, comment logs, change order logs, submittal logs, and schedule updates.
  5. Monitor and escalate concerns related to the financial aspects of projects to support healthy project financials and meet company goals.
  6. Assist Project Manager with facilitating client and subconsultant contracts, including scope and fee modifications (change orders).
  7. Provide document control support to ensure effective project document management (e.g., permit coordination, RFI tracking and resolution, right of way correspondence).
  8. Prepare and file project-related documents, reports, and estimates, including processes and procedures.
  9. Attend meetings and coordinate with internal or external clients as requested by the Project Manager.
  10. Coordinate with utility owners, municipalities, subcontractors, and team members throughout the project.
  11. Assist the project team to identify permitting processes, prepare and submit applications, track permit status and approvals, and escalate permitting issues as needed.
Technical
  1. Ensure all project attributes and variables are entered in accordance with contract requirements and permit jurisdictions.
  2. Provide high level support to Project Managers and Leads.
  3. Assist with filing and document preparation for the department.
  4. Request drawings and documents from utilities, municipalities, and other stakeholders.
  5. Participate in team meetings and coordinate with clients and jurisdictions.

Physical, Cognitive, and Environmental Requirements

Work is primarily in an office setting with occasional trips to client offices and field observations.

  • Seated and Standing Position: Prolonged sitting or standing at a workstation.
  • Mobility: Movement within the office and job sites, including uneven surfaces.
  • Neck Movement: Head movements while using multiple computer screens.
  • Repetitive Motion: Repetitive finger movements for computer work.
  • Arm Movement: Reaching and handling objects at various heights.
  • Object Handling: Lifting and transporting objects as needed.
  • Cognitive Requirements: Attention, comprehension, communication, problem solving, reasoning, and information processing.
  • Office Conditions: Extensive use of electronic devices; possible use of cutting tools and plotting devices.
  • Outdoor Conditions: Walking on uneven surfaces, exposure to weather, noise, and allergens; potential wildlife exposure.
  • Safety and Equipment Use: Regular use of PPE and hand/power tools.
  • Driving and Vehicle Use: Occasional driving of large vehicles and trailers; possible operation of watercraft.
Expected Work Hours
  • Full-time position, generally 40 hours per week, with overtime as needed based on department needs.
  • Standard hours are Monday through Friday, 7:30 AM to 4:30 PM CST; lunch break is typically one hour and may vary with project workload.
Work Location Flexibility
  • Hybrid schedule may be available after the training period, as determined by the department.
